Construction and installation: Quotation software for acoustic treatment installers

Quotation software for acoustic treatment installers that calculates panel layout, suspension and installation per room from the measurement report, with every assumption visible in the proposal.

Quotation software for acoustic treatment installers. A quotation that brings assumptions, calculation and approval together. Example with demonstration data.

Where quotes for acoustic treatment installers get stuck.

A quote from an acoustic treatment installer is more than a number of panels times a unit price. The measurement report sets how much absorptive surface is needed, the room decides where it can go and the ceiling dictates which suspension system will work. Then come working height, a cherry picker or scaffold tower and work outside opening hours. Consultants often work this out in their own spreadsheet and put only the total in the quote. If the customer changes the colour or panel type, everything has to be redone. And when the customer later asks why the quote says twelve panels instead of eight, the reasoning can no longer be traced.

  1. 1

    Recording room and target

    Done

For each room the consultant records dimensions, ceiling type, measured reverberation and the target the customer wants.

  2. 2

    Calculating layout and suspension

    In progress

The consultant chooses panel type, size and colour and spreads the surface over walls and ceiling.

The proposal includes, for each room, a sketch of the panel layout, the chosen materials, the installation conditions and the assumptions.

From enquiry to signed quote.

Recording room and target

For each room the consultant records dimensions, ceiling type, measured reverberation and the target the customer wants. The required absorptive surface follows from that. Without a measurement the starting point is marked as an assumption and reappears in the proposal as a condition, so the customer knows what the quantity is based on.

Calculating layout and suspension

The consultant chooses panel type, size and colour and spreads the surface over walls and ceiling. The system counts suspension points, cables or rails and profiles for each mounting system and estimates installation time from height and access. Alternatives, such as wall panels against ceiling rafts, sit side by side with their own breakdown.

Proposal with layout drawing

The proposal includes, for each room, a sketch of the panel layout, the chosen materials, the installation conditions and the assumptions. The customer selects an option and accepts it online. That acceptance fixes the layout as the basis for the final drawing, so installers later work with exactly the same quantities and positions.

Alongside your calculations and price lists.

Acoustic installers usually quote from a spreadsheet, supplier price lists and sometimes their own drawing tool for the layout. Those price lists remain the source for purchase prices; the quotation software reads them in or keeps its own article list that you manage. Measurement reports stay with the acoustic consultant or survey firm that produced them. An accepted quote stays in the same software as the basis for scheduling, job card and invoice, so nobody has to retype the lines.

Pricing by area or by unit

Pricing on required absorptive area matches the measurement report, but customers buy individual panels. The software can show both: how much surface is needed and which combination of panel sizes delivers it. The reasoning stays clear and the customer can pick another size without the calculation having to start over from scratch.

Fixed installation price or time and materials

A fixed installation price is clear for the customer but risky if the ceiling structure disappoints or the room is not cleared. Charging actual time is fairer under uncertainty but harder to sell. A fixed price with stated conditions, such as a clear workspace and a known ceiling type, plus extras outside those, is often the sensible middle.

One proposal or several options

Offering options, for instance standard panels against custom printed ones, helps customers choose and makes the difference in price and appearance visible. Too many options slow the decision down, though. Two or three well-argued choices per room usually work better than either a single fixed quote or a long menu.

What we prepare in the quotes.

For each room the quotation software works out the required surface, panel layout, suspension materials and installation time, and produces a proposal with options and online acceptance. Your price lists and articles are already in it at the start. Before the first quote goes out, we go through an ordinary office space together and a sports hall with a high steel roof where only baffles can hang. A layout drawn automatically from the calculation and supplier purchasing from the quote can be switched on once the calculation is right.

Can the customer change a colour or panel type in the quote?

Within the options the consultant has prepared, yes. The customer can choose between three colours, say, or between wall panels and ceiling rafts, and sees the effect on price immediately. Anything outside those options becomes a request, so the consultant can check it still works acoustically.

What happens if a later measurement gives different results?

The quote records the assumptions it was based on. If a later measurement finds different reverberation, the consultant updates the starting point and the system recalculates the layout. The customer receives a new version showing the difference, so it is clear why the panel count has changed.

Can we set supplier discounts and margins per product group?

Yes. Purchase price, discount and margin can be set per product group, separate from what the customer sees. When a supplier updates its price list, new quotes use the new prices and quotes already sent stay unchanged. An earlier proposal therefore remains valid until it expires.

How do we include cherry pickers and scaffolding in the price?

For each room the consultant records working height and access. Above a certain height the system suggests a cherry picker or mobile scaffold, with hire days linked to the estimated installation time. The consultant can override this if the customer arranges equipment or the room can be reached another way.
