Construction and installation: Invoicing software for acoustic treatment installers
Invoicing software for acoustic treatment installers that sets installed panels, extra suspension points and on-site adjustments against the quote and turns them into an invoice you can check, with a payment link.
Where invoices stall for acoustic treatment installers.
After an installation, an acoustic treatment installer has to prepare the invoice. The quote listed twenty panels and standard suspension, but the job card shows eighteen were fitted because a light line blocked two positions, and that extra fixings were needed in a concrete ceiling. Someone in the office has to put the job card, the quote and any emails about extras side by side and decide what to charge. If that does not happen, the quote is invoiced unchanged and a dispute with the customer follows. Or extra work the installer actually did never gets charged at all. And once the invoice has gone, nobody properly tracks who has already paid.

Bringing quote and job card together
Once the job card is signed off, the software sets installed panels, suspension materials and hours worked against the accepted quote, which is already in the same software. Extra work recorded on site comes along as a separate line, as do changes approved earlier through the portal.
Reviewing the differences
The software highlights where reality differs from the quote: fewer panels, extra suspension points, more hours because of a difficult substrate. For each difference the project lead sees the installer's reason and photo. He decides whether to charge it, offset it or absorb it as the firm's own risk.
Sending with a payment link
After review the invoice is ready with the quote as its base and approved differences as separate lines. It goes to the customer with a payment link, reminders follow automatically and the project lead sees per project whether it has been paid. The customer can see where each difference comes from.
Invoicing from the same software.
Acoustic installers usually invoice from a separate program, based on the quote and what the project lead remembers about the installation. In the software the quote is the fixed base and the job card the record of what actually hangs; the invoice is made from those two. The project lead stays responsible for decisions on extra work, and nothing goes out without someone checking the invoice. The bookkeeper can look along or receive an export for VAT and year end.
Invoicing on quote or on actuals
Invoicing the quote is simple and predictable for the customer. Invoicing what was actually installed is fairer but depends on good records. A middle route often works: the quote as the base, with only the deviations flagged in advance as possible extras added or deducted as separate lines on the invoice.
Getting extras approved in advance
Raising extra work only on the invoice invites disputes. Having the contact person approve extras on site, for example through the job card, makes the invoice much easier to defend. It does require installers to know when something counts as extra work and to take a moment to get it signed off.
Staged invoices or one final invoice
On large projects with many rooms you can invoice per completed room or phase. That improves cash flow but means more administration. For smaller jobs a single final invoice after handover is clearer. The software supports both, as long as it records per room what has already been invoiced, so nothing is billed twice or missed.

What we set up for your invoicing.
We set up invoicing so that the accepted quote and the signed job card sit side by side, differences are flagged per line and the invoice can leave with a payment link and reminders. For the first real invoice we look together at an ordinary installation without deviations and at a job where panels were left out and extra suspension work was needed. Staged invoices per room and an overview of extras not yet invoiced can be switched on when larger projects call for them.

Explore pricing and optionsIs the invoice sent automatically after installation?
No. The invoice is ready for the project lead or accounts team to review, and only after that check does it go to the customer with a payment link. Nobody gets surprised by an invoice with errors or extra work that has not been discussed. Only the reminders afterwards run by themselves.
How do customers see why the invoice differs from the quote?
Each deviation appears as a separate line with a short description, such as fewer panels due to an obstruction or extra fixings in a concrete ceiling. The job card photo can be included on request. The difference is easy to follow without the customer needing to call.
What if the customer disputes the extra work?
Because extras are recorded with a reason, photo and possibly a signature, the project lead can show them. If they are still not accepted, the line can be adjusted or removed before the invoice is sent. That decision is recorded for later review.
Can we see which invoices are still open?
Yes. For each project and room the invoice shows whether it has been paid. When the customer pays through the payment link, the invoice is marked as paid by itself. With staged invoices you see which rooms are settled and for which the reminders are still running.
