Repairs and specialist services: Operations dashboard for watchmakers
An operations dashboard for watchmakers that shows turnaround time per movement type, broken down into assessment, waiting for approval, waiting for parts, bench work and testing.
Which figures watchmakers really need.
Watchmakers know services take a long time, but rarely where exactly the time goes. Does an automatic sit on the bench for long, or is it mostly waiting for the owner's approval or a part from the manufacturer? Do chronographs consistently take longer than expected, and is that down to the work or the testing period? Without that breakdown, the counter quotes turnaround on gut feeling, and for some watches it is wrong. Whether a second watchmaker for quartz work would help, or a better arrangement with a supplier, also stays unanswered.

From scattered figures to one overview.
Agree stages and terms
We agree which stages a file goes through and when each starts and ends: received, assessment, awaiting approval, waiting for part, bench work, testing, ready, collected. We also fix the grouping into movement types. Only with those agreements can turnaround per type be compared.
Link files and orders
The dashboard reads the stages from the movement files and lead times from the order list. For each movement type you see total turnaround, broken down by stage. Waiting time per supplier is shown separately. Every figure leads back to the files it was calculated from.
Investigate the outliers
If a type takes noticeably long, you see which stage is responsible and which files are involved. A long wait for approval calls for reminders to owners; a long wait for parts for a conversation with a supplier. The dashboard points to where to look; you draw the conclusion.
Figures from your own work.
The data comes from the movement files, the order list and the accounting package. Nothing extra needs entering as long as stage changes are kept up in the file. If you still use a repair ledger, you can start with intake and collection dates and extend the dashboard once files are digital. The accounting package remains the source for revenue, the files for turnaround and the order list for lead times.
Show averages or spread
An average turnaround is easy to read but hides the watches that take much longer. The spread shows how predictable a movement type is, and that determines what you can promise at the counter. The dashboard shows both, with the average as the headline and the outliers as a list you can open.
Own work or waiting time too
Waiting for approval and parts is outside the bench's control, but the owner still experiences it as turnaround. Showing own work and waiting time separately reveals what you can improve yourself and what is better explained to the owner. Both belong in the conversation at the counter.
Per watchmaker or per movement type
Looking per watchmaker helps share out work, but whoever takes the difficult complications will always look slower. Per movement type you see the real bottlenecks without turning it into a comparison between colleagues. You decide who sees which view, and whether figures per person are visible to the owner only.

The dashboard shows turnaround per movement type broken down by stage, with waiting time per supplier and a list of outliers, each traceable to the files. Which stages you distinguish is recorded at the start. Together we look at an ordinary month and a period in which one supplier failed to deliver for a long time. Warranty returns and a comparison between the turnaround quoted at the counter and the actual one can be added when you need them.

The dashboard shows how long a movement type actually takes and how wide the spread is. That gives a grounded basis for what you say at the counter. It does not set a turnaround itself; that stays your call.
Do watchmakers have to log every stage change by hand?
Most changes happen on their own: approval arrives, a part is received, the closing check is ticked off. Only the start of bench work and the start of testing take a click. That costs hardly any time and keeps the figures reliable.
Can we also see which suppliers are slow?
Yes, waiting time for parts is shown per supplier with the files attached. You can then have a conversation based on concrete orders rather than a feeling, and see whether another supplier works better for certain parts.
Can we share the overview with a jeweller?
A slice covering their own files with stage and date can go through the portal or as an export. Turnaround for other customers, revenue and comparisons per watchmaker stay internal. The jeweller can inform their customers without seeing the rest of the workshop.
What often connects to this.
- Digital job cards for watchmakersDigital job cards for watchmakers in the form of a movement file: intake photos, readings before and after, replaced parts and test results kept together for each watch.
- Website for watchmakersA website for watchmakers that explains, movement type by movement type, what a full service, a minor service or a single repair involves, so owners understand why their watch has to be opened first.
- Enquiry form for watchmakersAn enquiry form for watchmakers that records the reference number, reported issue and photos of case and dial before the watch arrives, so the assessment can start with a clear focus.
