Business supplies and services: Scheduling software for test equipment rental companies
Scheduling software for test equipment rental companies that shows for each serial number when it goes out, when it comes back and when calibration or maintenance is due.
What makes scheduling hard for test equipment rental companies.
Availability at test equipment rental companies is trickier than a stock count. A power analyser sits on the shelf, but its calibration expires next week and the next hirer needs it for a month. Another unit comes back tomorrow but has to be checked before it can go out again. A customer extends without telling anyone and the next customer's booking is left hanging. As long as the schedule is kept per model rather than per unit, the desk promises what exists on paper, and at dispatch there turns out to be no usable instrument.

Units with their status
DoneEvery instrument appears in the schedule with its own number and status: available, on hire, being checked after return, at calibration or in repair.
- 2
Book against availability
In progressFor a new booking the schedule looks for a unit of the requested model that is free for the whole period, including a buffer for checks after the previous return.
- 3
Watch the return date
NextAround the return date the desk sees which instruments are due back and which of those are already booked out again.
From job to confirmed appointment.
Units with their status
Every instrument appears in the schedule with its own number and status: available, on hire, being checked after return, at calibration or in repair. The calibration due date sits alongside. A unit whose certificate expires during the hire period is not offered for that booking unless staff deliberately decide otherwise.
Book against availability
For a new booking the schedule looks for a unit of the requested model that is free for the whole period, including a buffer for checks after the previous return. If none is free, it shows when the first one becomes available or which equivalent model is free instead.
Watch the return date
Around the return date the desk sees which instruments are due back and which of those are already booked out again. If an instrument does not come back, staff see which next booking is at risk and can call the hirer or assign another unit before the next customer is standing at the counter.
Alongside your calendar and your team.
Rental companies work with a rental system, a calibration register that sometimes lives in a separate spreadsheet and a calendar for transport. The schedule pulls bookings and units from the rental system and calibration dates from the register. The rental company owns the unit data and status; the calibration laboratory supplies certificates and due dates. Transport arrangements stay in the calendar the driver uses, with a reference to the booking.
Schedule by model or by unit
Scheduling by model is simple: so many in stock, so many out. But a unit at calibration or with a damaged housing then counts as available. Scheduling by unit takes more discipline at dispatch and return, but gives an honest picture. For expensive or scarce instruments it is almost always worth it.
Buffer after return or straight back out
A fixed buffer after return gives time to check an instrument, charge it and complete the kit. Without a buffer a unit can go out the same day, but then the check has to happen the moment it arrives. The choice depends on how busy the desk is and how often something turns out to be wrong on return.
Calibrate in batches or by due date
You can send a whole group of instruments for calibration at once or each unit just before its due date. Batching is more efficient for transport to the laboratory but takes a whole group out of the fleet for a while. Doing it per unit spreads the absence but means more scheduling and more separate shipments.
What we set up in the schedule.
Per unit the planning shows status and calibration due date, with booking against availability and an overview of return days. That is how it is ready at the start. Together we replay an ordinary week, and an instrument that does not come back while it is hired out again the next day. Notifications to hirers and scheduling calibration shipments, so the laboratory knows in time what is coming, can be added later.

Explore pricing and optionsCan customers see for themselves whether an instrument is free?
They can, but per model rather than per unit, and with a caveat. A unit can turn out to be damaged on return or late back from calibration. Many rental companies let customers state a preferred period and then confirm, so no availability is promised that is not really there.
What happens if calibration expires during a hire?
The schedule warns at booking that the certificate expires within the period. Staff then choose another unit or check with the customer whether that matters for their application. For measurements that have to be submitted to a client, a valid certificate is usually a requirement.
How do we see instruments that are in repair?
An instrument in repair gets that status, with the expected return if known. It is not offered for bookings until it is back and checked. The schedule also shows how many units of a model are unavailable at that moment.
Does the schedule work for sets of several instruments?
Yes. A set is booked as a group, and the schedule checks each component for availability. If one component is not free, staff see which one it is and can choose a substitute or start the set later.
