Business supplies and services: Customer portal for test equipment rental companies

A customer portal for test equipment rental companies where hirers find their current hires, instrument documents, calibration certificates and usage agreements, and request an extension themselves.

Customer portal for test equipment rental companies. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of test equipment rental companies want to see.

An engineer submitting a test report to a client is asked for the calibration certificate of the instrument used. They phone the rental company, who looks it up and emails it. A week later the same customer's accounts team asks for a copy of the hire agreement, and a colleague wants to know when the hire ends. Test equipment rental companies spend a lot of time resending documents that already exist. Meanwhile the hirer has no overview of what they have out, and only extends once the desk calls to say the return date has passed.

From invitation to approval.

Access per company and project

The hirer logs in with an account per company. Users can be grouped by project or department, so an engineer sees only the instruments for their own job and the accounts team sees all current hires. The rental company decides which documents are visible and which are shared on request only.

Documents per instrument number

Each hired unit shows its calibration certificate, manual, signed dispatch card and usage agreements. If the certificate belongs to a different unit from the model quoted, that is visible. The hirer can download documents and forward them to their client without phoning the rental company.

Extend and announce returns

In the portal the hirer sees the return date per instrument. They can request an extension, which the desk confirms if the unit is not already booked out afterwards. They can also announce an early return or choose a collection slot. Those requests reach the desk with the right booking attached.

Less email, the same records.

Certificates now sit in the calibration register or as a file per serial number, hire agreements in the rental system and manuals on the manufacturer's website. The portal retrieves these documents and shows them with the right hire, without anyone having to manage a copy. The rental company owns certificates and agreements; the hirer manages their own users and project names. Invoices can be shown from the accounting package.

Certificates public or hirers only

Some rental companies publish certificates per serial number so a client can verify them. That is transparent but also reveals your fleet. Showing them only to the hirer who has or had the unit is more common. A middle ground is a verification link the hirer can share with their client, which you decide on per customer.

Automatic or confirmed extensions

An automatic extension is convenient for the hirer but can clash with a next booking. Extending after confirmation gives the desk a chance to check, but needs a quick turnaround. A middle way is to extend automatically if the unit is free, and otherwise send a message offering an alternative instrument.

One account per company or per user

A shared account is simple, but you cannot tell who requested an extension or downloaded a document. Personal accounts show that and let you remove access when someone leaves. For small hirers, an administrator who adds colleagues is sometimes enough. Either way, every action stays traceable to a named person.

What customers find in the portal.

In the portal hirers see their current hires per company, documents per unit and the return day, and request an extension or return there. Before it goes live, we replay an ordinary hire where the technician downloads the certificate themselves, and an extension that clashes with a following booking. Invoices in the portal and a history of earlier hires, so a hirer can later prove which unit they measured with, can be switched on later.

Can a client verify the certificate themselves?

If you want that, the hirer can share a verification link with their client. The link shows only the certificate for that one unit and its validity. The client needs no account and the rest of the portal stays closed off.

Do hirers also see instruments they hired before?

Yes, the history shows which units a company hired previously along with their documents. That helps when a client asks afterwards which instrument a measurement was taken with. The certificate valid during that hire remains easy to find.

What if a hirer sees the wrong return date?

The return date comes from the booking in the rental system. If it is wrong, the hirer can flag it through the portal and the desk corrects the booking. The portal then shows the right date. There is one source for the date and no debate about which version applies.

Can we show usage agreements per instrument?

Yes, for example that an instrument must not be used in wet conditions or that a particular probe only works with the supplied adapter. Those agreements sit with the unit and the hirer confirms them at dispatch. They stay visible for as long as the hire runs.
