Where invoices stall for test equipment rental companies.

The invoice at test equipment rental companies is only right if the actual hire is known. An instrument returned a day late, an extension agreed by phone, a test lead missing on return: it all needs to be on the invoice, but it is recorded in different places. The accounts team invoices the original period from the rental system and misses the extra days, or charges for a missing accessory while the customer produces a photo showing it was in the case on return. A credit note and an unhappy customer follow.

From finished work to paid invoice.

Gather the actual hire

For each booking the software sets the dispatch date and the actual return date from the dispatch card against the agreed period. Confirmed extensions are included. Hire days are then calculated under the customer's terms, including sliding scale and any arrangements about weekends.

Review return discrepancies

Missing or damaged accessories from the return check appear as proposed lines, with the photo and description attached. Staff decide whether to charge or whether it is normal wear and tear. Only after that decision does it become an invoice line, so no unjustified costs reach the customer.

Send invoice with payment link

The invoice with hire days, extensions and approved discrepancies goes to the customer with a payment link, carrying their purchase order number and project name. Reminders go out automatically and the desk sees on the booking whether it has been paid. The booking is marked as invoiced, so a long hire is never billed twice.

Invoicing from the same software.

Invoicing now usually runs on the booking, without the actual return. The software reads the bookings from your rental system and adds the return and the discrepancies from the dispatch card; the invoice itself is created in the same software. The rental company owns prices, terms and the invoice; the hirer owns their purchase order numbers and project codes. Large business customers with their own procurement portal receive the invoice in the required format. Your accountant gets an export.

Invoice on return or periodically

Invoicing on return is clear for short hires: one hire, one invoice. For long running hires you want to invoice periodically rather than wait months. The software can do both, and for a customer with many current hires it can also produce a consolidated invoice per period with the instruments as lines.

Charge damage straight away or after contact

Putting damage straight on the invoice is quick, but leads to disputes if the customer does not recognise it. Sending a notice with a photo first and giving the customer a chance to respond adds a step but avoids credit notes. For small accessories a fixed charge in the terms can sidestep the discussion entirely.

Late return as extra days or a penalty

A late return can be charged as extra hire days at the normal rate or with a surcharge. Extra days are fair and easy to explain. A surcharge discourages late returns but can feel punitive to a regular customer. The terms per customer decide what the software proposes.

What we set up for your invoicing.

Gathering actual hire days and extensions, reviewing return discrepancies and sending the invoice with a payment link: that is how invoicing is set up at the start. Together we walk through an ordinary weekly hire, and a hire extended by phone where a current clamp came back damaged. Consolidated invoices and invoices in the format large customers require can be switched on later, so a big hirer does not have to retype lines into their own system.

Is damage charged without a person checking?

No. Damage and missing items are only proposed. A member of staff looks at the photo and description and decides whether to charge. Normal wear is not invoiced as damage, and someone remains accountable for the decision.

How do phone extensions get onto the invoice?

A phone extension is recorded in the booking by the desk, or the customer requests it through the portal. Only confirmed extensions count. If an instrument comes back later without a recorded extension, the difference shows up as a discrepancy for staff to review.

Can the invoice be split by the customer's project?

Yes, if the customer gave a project or purchase order number with the request. The software then groups lines by project. That helps the customer's accounts team allocate costs to the right job, and each invoice gets its own payment link.

What if an accessory turns up after the invoice?

Then the line for the missing accessory is corrected with a credit note in the same software. The dispatch card gets a note that the item has been received after all. Stock is right again and the correction can be found against the correct hire.
