Repairs and specialist services: Inventory software for tent repair companies
Inventory software for tent repair companies that tracks which tent fabric, zip sizes and sliders are in stock, what is already reserved for a repair and what is still free.
Where stock drifts for tent repair companies.
A tent repair company works with stock that is hard to count. Tent fabric sits on rolls in different colours, weights and coatings, alongside offcuts that are perfectly usable for a small repair. Zips come in all sorts of lengths and coil gauges, and sliders have to match the zip. Whoever writes a quote does not know whether the right green polycotton is still on the roll or whether the last length is already earmarked for another tent. Halfway through a repair the door zip in the right size turns out to be gone, and the tent waits for days on an order nobody saw coming.

From receipt to use.
Register fabric and zips clearly
Every roll of fabric is registered with type, colour, weight, coating and remaining length. Offcuts above a usable size are recorded separately with their dimensions. Zips and sliders are listed by coil gauge, length and colour. The repairer searches for what they need rather than whatever happens to be on top of the pile.
Reserve materials on approval
As soon as a customer approves the quote, the system reserves the fabric and the right zip for that job. That amount is then no longer free for other quotes. If the material is not in stock, an order flag appears with the ready date attached, so the buyer can see how urgent it is.
Report actual use
After the repair the repairer records what was actually used: more fabric because the tear ran on, or an offcut instead of a length from the roll. The system updates stock, releases an unused reservation and records a new offcut if a usable piece is left over.
Alongside your purchasing and suppliers.
In most workshops stock knowledge sits with one person and a spreadsheet that gets updated now and then. We take over the existing list of fabrics and zips and connect it to the quote and the repair card, so reserving and reporting use are not separate jobs. Orders with suppliers carry on as they do now. The buyer owns item details and ordering decisions; the workshop reports what is used.
Track offcuts or throw them away
Tracking offcuts takes time: measuring, recording, finding them again. Throwing them away wastes fabric, and a matching colour for an older tent is sometimes impossible to get. Many tent repair companies only track pieces above a certain size, logged by colour and fabric. Smaller scraps go unrecorded into a box for patching.
Keep stock or order per job
Holding common zips and popular fabric colours makes quick repairs possible. Ordering rare colours and special coatings per job stops money sitting on a shelf. Usage per item across a season shows which item belongs in which group, so the line is not drawn on gut feeling.
Measure rolls or count down from use
Measuring a roll of fabric is fiddly, so many workshops only count down from usage and measure once a season. That works if usage is actually reported. Skip the reporting and stock grows on paper. That is why reporting sits in the final check on the repair card rather than in a separate task.

Rolls, offcuts, zips and sliders are registered, with reservation on an approved quote and use reported from the repair card. The existing item list is brought over at the start. Together we go through an ordinary zip replacement from stock, and a repair where the reserved fabric is not enough and an offcut in a slightly different shade has to be proposed. Order flags and a seasonal usage overview can be switched on later.

Explore pricing and optionsHow do we record offcuts without it taking too long?
Only pieces above an agreed size are recorded, with fabric type, colour and rough dimensions. A photo is enough to recognise them later. Each gets a number and a fixed spot in a cupboard or box. It is a short task after the repair and stops a usable piece being thrown out unseen.
Can we see which fabric matches an older tent?
The system searches by fabric type, colour and weight and shows rolls and offcuts that come close. Whether it really matches is for the repairer to judge, because colours fade and an old tent is rarely the original shade. A photo of the roll or offcut next to the damage photo helps.
What if a repair is cancelled after reservation?
The reservation lapses and the material becomes free again. If the fabric was already cut to size, the repairer records it as an offcut. Stock stays accurate and no material sits reserved for a job that no longer exists.
Can the system order automatically from our supplier?
The system creates an order flag or a draft order but does not send it. The buyer reviews and orders, because suppliers often have minimum quantities and it can be smarter to wait until more zips of the same type are needed. If the supplier accepts orders digitally, the approved order can go straight to them as well.
