Repairs and specialist services: Digital job cards for tent repair companies

Digital job cards for tent repair companies: a repair card with a damage diagram for each tent, where the repairer records what was sewn, replaced and checked.

What a job card for tent repair companies should hold.

In the workshops of tent repair companies, information often travels with the tent on a scrap of paper. It says something like roof tear and front door zip, but not which tear, on which side, or whether the customer agreed to a whole new zip rather than just a new slider. An unfolded tent has no front or back that everyone names the same way. So the repairer hunts for the damage, sometimes misses a second spot and does not note which materials were used. At collection nobody can say exactly what was done, and if a customer later complains about a leaking seam, there is no record of the repair.

From preparation to signed-off card.

Prepare a card with damage diagram

For each tent the workshop creates a repair card with a simple drawing of the tent type: roof, walls, doors, windows and groundsheet. Damage from the enquiry or drop-off is marked on it and numbered, each with a photo and the approved method. When the tent is unfolded, the repairer knows exactly which spots to look at.

Record stitching and materials

For each numbered spot the repairer ticks off what was done, with the fabric, zip or thread used and a photo after the repair if useful. If they find damage not on the card, they add it to the diagram with a photo. That extra spot goes to the front desk as a question rather than being quietly repaired.

Final check before collection

Before the tent is packed, someone runs through the card: is every numbered spot ticked off, is the tent packed dry, and are the pegs, poles and bags the customer handed in all there. Only when that check is done does the job become ready for collection and can the customer be told.

No more paper and loose photos.

Most tent repair companies work with paper tags or a card tied to the tent bag, and sometimes a phone for photos. The repair card opens on a tablet or phone at the sewing table and replaces the paper card, while a simple label with a code stays on the bag to identify the tent. Damage details come from the enquiry or quote; the workshop owns everything recorded during the repair.

Diagram per tent type or free photos

A fixed diagram per tent type, such as dome, tunnel or frame tent, makes it easy to point at damage consistently. For unusual tents no diagram fits well, and numbered photos work better. The repair card supports both, so you do not need a new drawing for every rare shape that comes through the door.

Materials per damage or per tent

Logging materials per piece of damage costs the repairer a few extra taps, but later shows how much fabric and how many zips each kind of damage uses. Per tent is quicker but only gives a total. For workshops that want to know where their materials go, the first pays off. A compromise logs fabric and zips per damage, not thread.

Fix extra damage now or ask first

Fixing a small hole next to a tear right away is efficient, but the customer never agreed to it. Many workshops agree a threshold below which they repair and mention it on the invoice, and above which they get in touch first. That threshold is on the repair card, so every repairer makes the same call.

What goes on the job card.

The repair card has a diagram of the most common tent types, numbered damage with photo and method, the material used and a final check. Which tent types get a diagram first, you choose at the start. Together we follow an ordinary zip and seam repair, and a tent where a second tear appears under a flap during the work. The invoice straight from the card and an overview of materials by damage type can be switched on later.

Does the repair card work with dusty hands at the table?

The card is built for short actions: ticking off, taking a photo and choosing a fabric from a list. There is no need to type long notes. A tablet in a holder beside the machine tends to work best, so the repairer is not constantly pulling a phone out of a pocket.

How do we link the card to the physical tent?

The tent bag gets a label with a short code or a scannable code. Scanning or typing the code opens the right repair card. A tent can be traced even when it is out of its bag and unfolded, and two identical tents from one hire firm never get swapped.

Can the customer see photos of the repair?

Yes, if you want that. Photos after repair can go with the collection message or appear in the customer portal. It gives customers confidence and helps with any later complaint, because it shows how the seam or zip looked when the tent left the workshop.

What if a tent has several parts, like an awning with canopy?

Each part gets its own section on the same repair card, with its own diagram or photo. The final check confirms every part is back in the bag. That way a canopy or loose groundsheet is never left in the workshop after the rest has been collected.
