Repairs and specialist services: Customer portal for tent repair companies
A customer portal for tent repair companies where customers find their repair choices, photos and return arrangement, and decide for themselves about extra damage found during the work.
What customers of tent repair companies want to see.
Customers of tent repair companies mainly want to know when their tent comes back, and the workshop mainly wants a quick answer when something new turns up mid-repair. At the moment that runs by phone: the repairer finds a second tear, the front desk calls, the customer does not pick up and the tent lies half repaired on the table. The return arrangement gets lost as well. Is the customer collecting, is it being posted, or does it go back with a hire firm's collection run? With hire businesses that have several tents in for repair, it is even harder to see which tent is ready and which is waiting on a decision.

From invitation to approval.
Set up access per customer
A private customer sees only their own tent. A hire firm or club sees all its tents in the workshop, possibly with different contacts allowed to decide per tent. Access runs through a personal link or a login, and no customer can see another's tents, photos or prices.
Show status, choices and return
For each tent the portal shows what has been decided: which damage is being repaired, by which method and which options the customer picked. Below that are the current status and the agreed return method, such as collection from the shop or delivery. If the ready date changes, the customer sees the new date with a short reason.
Send decisions back to the workshop
When the repairer finds extra damage, it appears in the portal with a photo and price, and the customer can approve or decline. Changes to the return arrangement are made there too. Every response lands on the repair card straight away, so the repairer can carry on without waiting for a call back.
Less email, the same records.
At most tent repair companies customer contact runs through phone, email and sometimes a messaging app. The portal takes its information from the repair card, quote and schedule, so no extra admin is added. Email and messages remain for customers who prefer them, but every decision is recorded in the portal. The workshop owns the repair data; customers manage their return preference and contact details.
Login or personal link
A private owner who has a tent repaired once every few years does not want to create an account. A personal link per job is enough. A hire firm sending tents every season benefits from a permanent account with its full history. Both can exist side by side depending on the kind of customer.
Approve in the portal or by phone
Approval in the portal is traceable and quicker, but some customers prefer to call. The front desk then records the phone approval in the same portal, with the date and the name of whoever gave it. There is one record of every decision, whichever channel the customer used.
Show every photo or a selection
The workshop takes plenty of photos, including along the way. Showing all of them can confuse and prompts questions about details that do not matter. A selection of damage photos and after shots gives customers enough confidence. The repairer chooses at the final check which images become visible.

In the portal the customer sees each tent's status, the chosen repair methods, photos and the return arrangement, and approves or declines extra work. Which return options you offer is set up at the start. Together we go through a private customer having one tent repaired, and a hire firm with several tents, one of which turns out to have extra damage during the work. A history per tent and changing the return method go on whenever you want them.

Explore pricing and optionsDo customers need an account to use the portal?
No. Private customers get a personal link per job and can see and decide everything through it. Business customers who send tents regularly can have an account with an overview of all their tents. The workshop decides which form a customer gets when the job is created.
What if a customer does not answer a question about extra damage?
They get a reminder after an agreed period, and the front desk sees which tents are waiting on a decision. You decide what happens if there is no reply, such as finishing only the original repair. That rule is in the quote upfront, so the customer knows where they stand.
Can customers pick a collection time in the portal?
Yes, if you want that. Once a tent is ready, the customer chooses a collection slot from the times the shop or workshop offers, or asks for the tent to be posted. That choice goes into the schedule, so the tent is ready at the right moment.
Does the portal work for scout groups with changing volunteers?
Yes. A club gets an account that several contacts can use. Every decision shows who made it, so the next volunteer can see what was agreed. A fixed decision maker can be named per tent, so not everyone approves everything.
