Events and rental: AI enquiry assistant for tableware rental companies
An AI enquiry assistant for tableware rental companies that answers questions about additional items, quantities, return rules and delivery from approved information, and hands doubts to staff.
Which questions tableware rental companies keep getting.
In the week before a party, customers of tableware rental companies ask the same things: can I still add ten glasses, does the cutlery need sorting before it goes back, what if something breaks and can the plates go in the dishwasher? Those questions often arrive in the evening or at the weekend, when the office is closed and the party is close. Some can be answered from fixed rules. Whether an additional order is still possible, though, depends on stock and the delivery route, and an assistant must not promise that. A customer who believes the extra glasses are sorted while nobody has packed them is worse off than with no answer at all.

Set the sources
You choose the information the assistant uses: return rules, guidance on crates and cleaning, delivery windows in general and what happens with breakage. Additional orders, price agreements and complaints are deliberately excluded from independent answers, because a member of staff always decides those.
Recognise the question
The assistant reads the question and decides whether it concerns general information or a specific order. A question about whether plates can go in the dishwasher gets the standard answer. A question about extra glasses for Saturday is recognised as an additional order that a person must confirm.
Answer or hand over
For general questions the assistant gives the approved answer. For an additional order it asks for the order number, item and quantity, and passes the request to the salesperson, making clear that nothing has been promised yet. The customer is told roughly when they will hear back.
On your own information, with a person behind it.
At tableware rental companies the answers usually exist already, but scattered: in the terms, on the website, in the confirmation email and in the heads of the people at the counter. We bring them together into one source that you manage. Handed over questions land in the inbox or rental system against the right order. You own every answer and every commitment; the assistant makes no promises about stock or prices.
Take the request or just refer
An assistant that only refers additional orders onward is safe but makes the customer explain everything again. One that notes the item and quantity saves that step, as long as it is clear this is a request and not a confirmation. The second approach works well when sales responds quickly.
General answers or per order
General answers on returns and cleaning are the same for everyone. Answers that depend on the order, such as the collection time, require the customer to identify themselves. Many companies start with general answers and add order information once order data from the rental system is read in reliably. Until then the assistant refers order questions to sales.
Evenings and weekends or not
Evenings and weekends are exactly when customers ask, because that is when they are busy with the party. An assistant answering general questions then saves a lot of Monday morning email. It does need to say honestly that additional orders will only be reviewed on the next working day, so nobody waits on Saturday morning for glasses that are not coming.

From your approved texts on returns, cleaning, crates, breakage and delivery we prepare the assistant's answers, and it passes additional orders on as requests. Together we ask it whether glasses can go in the dishwasher, and play a customer who wants twenty extra plates on Friday evening for Saturday. Answers about the customer's own order and texts in a second language can be switched on later.

Explore pricing and optionsCan the assistant confirm an additional order?
No. The assistant records the additional order as a request and tells the customer so clearly. A member of staff checks stock and route and confirms or declines. Only then is it arranged. That way no expectation is created that you cannot meet.
What if the customer is upset about breakage on the invoice?
The assistant gives no view on the substance and passes the question straight to a member of staff. It can explain in general terms how breakage is established. Complaints and disputes about a specific invoice belong with a person, not an assistant.
Can we adjust the answers for the season?
Yes. Around the holidays different delivery times or closing days sometimes apply. You change that in the source and the assistant uses it immediately. An answer can be given a start and end date, so a seasonal rule disappears by itself afterwards.
Does the assistant answer in other languages?
If you supply the approved answers in English as well, or have them translated and approved, it can answer in both languages. It does not translate rules on its own initiative that only exist in Dutch, so no unintended differences creep into the explanation.
