Outdoor spaces and grounds: AI enquiry assistant for sports ground contractors
An AI enquiry assistant for sports ground contractors that answers questions from clubs and site managers about scheduled work using approved information, and hands over to a person when the answer is not settled.
Which questions sports ground contractors keep getting.
Sports ground contractors get many similar questions: when are you coming to aerate the pitch, can we train after the top dressing, why was the treatment moved? They come from coaches, committee members and grounds managers, often in the evening or at weekends. The planner answers them between other jobs, and a volunteer who gets no answer lets training go ahead on freshly seeded ground. At the same time, some questions have no standard answer, such as whether a pitch is playable after heavy rain. That decision belongs to the site manager or the club, and an assistant must not give a verdict on it.

Set the approved sources
The assistant only uses information you have released: explanations of treatments and rest periods, the current schedule per site for the authorised user and general answers the works planner has written. Internal notes and pricing agreements are excluded. You choose that selection and can change it at any time.
Recognise and scope the question
A question like when are you coming to our main pitch is linked to the asker's site and the schedule. A question about whether the pitch is playable today is recognised as something the assistant does not judge. It explains who decides that and how to reach them, rather than guessing.
Answer or hand over
If the answer is in the approved sources, the assistant gives it and names the source. If it is unsure, or the question concerns damage, a complaint or a request to reschedule, it writes a short summary for the planner. The planner takes over and the asker is told someone will get back to them.
On your own information, with a person behind it.
The assistant reads from the schedule, the treatment information on the website and the answers you have approved. It writes nothing into the schedule and changes no agreements. Handed over questions land in the inbox or task list the planner already uses. The works planner owns the answers and decides which information the assistant may use. Conversations are kept so you can see afterwards what was said.
Public or for clients only
A public assistant on the website answers general questions about treatments and seasons. An assistant for logged in clients can also answer questions about their own schedule. The second is more useful, but needs properly managed access so a club never sees another site's schedule.
Answer broadly or keep it tight
An assistant that tries to answer many questions looks helpful but risks giving advice you would not give. Keeping it tight to the schedule and approved explanations means more handovers, but fewer misunderstandings. For questions about playability, a tight scope is the sensible choice because a wrong answer there is simply too risky.
Hand over at once or gather details first
Before a handover, the assistant can ask for the site, the pitch and a photo. That helps the planner, but can frustrate someone with an urgent question. It depends on the type of question: for damage a photo is valuable, for a complaint a quick human response matters more.

For logged in clients, the assistant answers questions about scheduled treatments and rest periods from approved text right from the start. Other questions go to the planner. We try it out together with a coach asking when the pitch can be used again after overseeding, and with a committee member asking whether the pitch is playable tonight. General explanations on the public site and more approved answers can be switched on later.

Explore pricing and optionsCan the assistant say whether a pitch is playable today?
No. That decision belongs to the site manager or the club, who judge the pitch on the spot. The assistant can explain which treatments were done recently and what rest period applies, and points to the responsible person for the actual decision.
What happens if the assistant gives a wrong answer?
Conversations are stored, so you can see what was said. A wrong answer usually comes from an outdated source. You correct that source and the assistant uses the new answer from then on. When it doubts its answer, it hands over to a person instead.
Can the assistant move a treatment when a club asks?
No, it changes nothing in the schedule. A request to reschedule becomes a task for the planner, with the preferred date and the reason. The planner decides and the club hears back from a person, not from the assistant.
How much work is it to keep the answers up to date?
That depends on how often your services or ways of working change. Explanations of treatments change little. The schedule is read automatically. New questions that are handed over often are a good prompt to add an approved answer.
