Food and specialist retail: Quotation software for spice blenders
Quotation software for spice blenders that works recipe ratios, ingredient prices, blending loss and pack size into a price per kilo for each blend and pack.
Where quotes for spice blenders get stuck.
The price of a spice blend follows from its recipe: dozens of ingredients in different ratios, each with its own purchase price that moves with harvest and origin. Pepper or paprika can become noticeably more expensive in a short time. On top of that come grinding, blending, loss to dust and leftovers, and packaging, which gets cheaper per kilo as the pack gets bigger. A spice blender working from last quarter's price list can sell custom work below cost without noticing. If only the owner understands the calculation in their spreadsheet, quotes wait for them. Spice blenders need a calculation that works out recipe, purchasing and packaging fresh for each quote.

Link recipe and purchasing
Every quote starts from a recipe: ingredients with their share of the blend. Each ingredient has a current purchase price. The system calculates the ingredient cost per kilo of blend and adds a standard blending loss for dust and leftovers. When an ingredient price changes, new quotes reflect it immediately.
Add packaging and processing
For each pack size, the cost of bag, bucket or box and the filling time are added. A finer grind or an extra sieving step can be included as processing. The salesperson sees where the price per kilo comes from and can add tiered pricing for larger volumes, with a discount per quantity band.
Send and record the proposal
The customer receives a proposal with blend, recipe revision, grind, packaging, price per kilo and validity. They accept online or ask for a change. The accepted version is stored with the ingredient prices of that moment and the recipe revision, so it is always clear later exactly what the price rested on.
Alongside your calculations and price lists.
Ingredient prices come from importers and wholesalers through price lists, contracts or purchase invoices. The quotation software reads them per ingredient from one list the buyer maintains. Recipes come from the product developer's recipe management. The accounting package remains the owner of invoices and customer accounts; the quotation software passes on accepted price agreements so that invoicing and order entry use the same price. Every change to a price or recipe is logged with a name and date.
Fixed price or ingredient clause
Food manufacturers want a fixed price per kilo for a longer period, because their own product price depends on it. For the blender that is risky with ingredients that swing sharply. A fixed price with a clause for the most expensive ingredients, or a shorter validity, shares the risk. The software can show per quote which ingredients carry the largest share of cost.
Tiered prices or price per order
Tiers make larger volumes attractive and are easy for the customer to understand. A price per individual order is more precise but means a new calculation every time. For regular customers with predictable volume, tiers usually work well; for irregular orders, a price per order is often the better fit.
Development costs separate or in the price
A custom recipe involves trial rounds and samples. You can charge that development time separately or recover it in the price per kilo over the first orders. Separate is transparent but can put a new customer off. Building it into the price only works if the expected volume actually materialises.
What we prepare in the quotes.
In the quote your recipes are tied to current ingredient prices, with a fixed mixing loss, packaging costs per size and price tiers; the customer accepts the proposal online, with the recipe revision included. An ordinary quote for a standard blend and a custom blend whose main ingredient becomes more expensive halfway through the negotiation are worked through together. Passing on to order entry and a margin overview per blend can be switched on whenever you want.

Explore pricing and optionsHow do we keep ingredient prices current without typing every day?
The buyer updates a price when a new price list or invoice arrives. If the supplier can provide a list, we import it. Each ingredient shows the date of its last change, so outdated prices stand out before a quote is built on them.
Can a salesperson write a quote without seeing the recipe?
Yes. You can set salespeople to see only the price per kilo and a high-level breakdown, while the full recipe is visible only to the product developer. The recipe stays protected and the sales team can still produce quotes on its own.
What happens to a quote when the recipe is revised?
The accepted quote stays linked to the revision it was based on. When a new revision arrives, the salesperson sees which running agreements are affected. They can then issue a new quote if the cost price changes noticeably.
Can we use different price lists for different customer groups?
Yes. Each customer group, such as butchers, wholesalers or manufacturers, can have its own markup or tiers. The salesperson picks the customer and the system applies the right price list. Exceptions for a single customer are recorded in that customer's quote.
