Food and specialist retail: Customer portal for spice blenders
A customer portal for spice blenders where customers view and assess product specifications, samples, recipe changes and orders for their own blends.
What customers of spice blenders want to see.
Customers of spice blenders, especially food manufacturers and larger butchers, keep asking for the same documents: the current product specification, an allergen statement, information on origin. Their quality department wants to know when a recipe has changed and what changed. With custom work, samples go back and forth with feedback by email, and after three rounds nobody remembers which sample was approved. The sales team spends a lot of time finding and forwarding documents. A spice blender needs a portal where customers always find their own specifications, samples and orders up to date, and where feedback is recorded in the right place.

From invitation to approval.
Access per customer and role
Each customer gets an area containing only the blends they buy or are developing. Within the customer, different roles can have access: purchasing sees orders and prices, the quality department sees specifications and changes, product development sees samples. The blender manages who holds which role.
Show specifications and samples
Each blend shows the current product specification with revision and date, and earlier versions as an archive. Samples for custom work appear as numbered rounds with a high-level composition and dispatch date. When a new revision is released, the customer's quality department receives a notification summarising the change.
Feedback on the right sample
The customer assesses a sample in the portal with a verdict and comments on flavour, colour or grind. That feedback is attached to exactly that sample, so the product developer knows what to adjust. An approved sample becomes the basis for the final recipe and specification.
Less email, the same records.
The portal shows specifications and revisions from recipe management and the quality file, samples from the sample rounds and orders from order entry or your ERP. The quality manager remains the owner of specifications and decides when a new version becomes visible. The customer owns their feedback and their own requirements. Invoices are shown as documents with their payment status, and customers only ever see a released version, never a draft.
Publish specifications automatically or after release
Publishing automatically with every recipe change keeps the portal current, but a mistake in a draft would reach the customer immediately. Publishing after release by the quality manager is slightly slower but more reliable. For documents customers audit against, release first is the sensible choice, and drafts stay internal.
Notify changes or require approval
A notification of a new revision is enough for small changes such as a different origin for one herb. Some customers require approval of any change before delivery. The portal can set which applies per customer, so a strict customer is never caught by surprise.
Free feedback or fixed criteria
A free text field lets the customer say what they like but produces feedback that is hard to compare between rounds. Fixed criteria such as flavour, saltiness, colour and grind with a comment alongside make development more focused. A combination usually works best, with the product developer choosing the criteria per sample round.
What customers find in the portal.
Per customer the client portal shows the blends they buy with current specifications and archive, sample rounds with feedback, alerts for new revisions and an overview of orders. We try it with a customer who simply downloads a specification, and with a customer who wants to approve a recipe change first while an order is already waiting. Reordering from the portal and showing invoices can be switched on later.

Explore pricing and optionsCan customers always download the current specification?
Yes, as long as it has been released. The current version sits at the top with revision and date. Earlier versions remain available as an archive, so during an audit a customer can show which version applied at the time of a particular delivery.
What do customers see of our recipe?
Only what you choose to show. Usually that is the ingredient declaration and allergens, not the exact ratios. For custom work you can share more if that has been agreed. The portal only shows the fields you have released for each document.
How do we know a customer has seen a notification?
The portal records when a notification has been opened. For customers who need to approve a change, you can see whether they have done so. If approval is still missing while a delivery is due, you see it in time to get in touch.
Can several people from one customer use the portal?
Yes, each with their own login and role. Purchasing sees orders and prices, the quality department sees specifications without prices. When someone leaves, you withdraw their access without the rest of the customer noticing anything.
