Food and specialist retail: AI enquiry assistant for spice blenders
An AI enquiry assistant for spice blenders that answers questions about grind sizes, applications, allergens and packaging using approved information, and passes tricky questions to the team.
Which questions spice blenders keep getting.
Spice blenders get many recurring questions: which grind suits a dry rub, is your curry blend available without mustard, which packs does the barbecue blend come in and how much do you use per kilo of mince? The sales team and product developer answer them in between other work. A wrong answer about allergens can land a customer in serious trouble. At the same time it is a pity when a butcher waits a day for an answer about the coarseness of a blend. Spice blenders need an assistant that answers standard questions with information the blender has released, and passes the rest on.

Decide the released sources
The blender chooses what the assistant may use: blend descriptions, available grind sizes and packs, released allergen information, dosage guidance and delivery terms. Unreleased specifications and recipes are excluded. A new revision is only used by the assistant once it has been released by the quality manager.
Interpret and limit the question
The assistant recognises whether a question concerns grind, application, allergens, packaging or delivery. On allergens it reproduces the released information word for word and says nothing about cross-contact beyond what the sources contain. On dosage it gives the standard guidance and notes that it depends on the product.
Answer or pass on
If the answer is clearly in the sources, the assistant gives it with a reference to the blend. If someone asks for custom work, a price, a specification or an allergen requirement not covered by the sources, it passes the question to the team with the enquirer's details and a short summary.
On your own information, with a person behind it.
The assistant works on the website and, if you like, in the customer portal. It reads from the same blend data, grind sizes, packs and released allergen information as the website, so no separate knowledge base is needed. The quality manager remains the owner of all allergen information. Questions that are passed on arrive in the mailbox or CRM the sales team already uses, with the conversation attached, so nobody has to start from scratch.
Give dosage guidance or not
Dosage guidance per application helps many buyers get started, but the right dosage depends on the product, fat content and the customer's taste. An assistant that gives standard guidance with the caveat that it is a starting point usually helps well. For industrial customers, referring to the product developer is wiser.
Answer allergens or always pass on
If your allergen information is well recorded, the assistant can quote it word for word. Blenders who are unsure, or who have customers with very strict requirements, choose to pass every allergen question on. That is slower but rules out misunderstandings. It can be set differently for different types of enquirer.
Website only or in the portal too
On the website, the assistant mostly answers exploratory questions. In the customer portal it can also answer questions about a customer's own blends and specifications, because it knows who is asking. That requires stricter limits on which information is visible to which customer. Starting on the website is usually the simpler first step.
What the AI assistant may answer.
From the start the assistant answers questions about blends, grinds, applications, packaging and released allergens, only from the approved sources, and passes on custom work, prices and specification questions. Before launch we put to it an ordinary question about the grind of a rub, and a food manufacturer asking whether a blend suits a product that must be free of a particular allergen. Use in the portal can be switched on later.

Explore pricing and optionsCan the assistant say whether a blend is free of an allergen?
It can repeat what the released allergen information says. It gives no guarantee and says nothing about cross-contact beyond the sources. Where requirements are strict, it recommends getting in touch and passes the question to the team.
Can the assistant send out a recipe or specification?
No. It never shares recipes, and only shares specifications you have released as public documents. For full specifications it points to the enquiry form or customer portal, so you decide who receives which document. Nothing confidential leaves the building.
What if someone asks about a blend we no longer make?
If the blend is marked as discontinued in the sources, the assistant says so and may mention a replacement you have designated. If nothing is recorded, it passes the question on so a member of staff can judge whether custom work is an option.
How do we see what the assistant has answered?
Every conversation is stored with its topic, the answer given and the source it was based on. You can see which questions keep coming up and which were passed on. If an answer is wrong, you correct the source and it is fixed for everyone from then on.
