Repairs and specialist services: Inventory software for roller shutter service companies
Inventory software for roller shutter service companies that tracks which motors, slats and bottom rails are on hand, which are already reserved for a customer and what sits in which van.
Where stock drifts for roller shutter service companies.
The stockroom at roller shutter service companies holds motors in different torque ratings and axle adaptors, slats in several profiles and colours, bottom rails, strap winders and switches. What is actually there is often known only to whoever last tidied up. A motor that seems to be on the shelf has sometimes already been promised to a customer with a follow-up visit next week. Engineers take parts into the van without anyone keeping track, and slats get cut to length with the offcut left unrecorded in a corner. Then, on an urgent call, it turns out on site that the right motor is not available.

Name items unambiguously
Every item gets a fixed description with the attributes that matter for the choice: for motors the torque, axle size and control type, for slats the profile, colour and length. Slat offcuts are registered as items in their own right, so an engineer can see whether a piece is lying around that will do for a small repair.
Reserve parts per job
As soon as a repair proposal is accepted, the motor or slat set is reserved for that customer. It no longer counts as freely available on the shelf. If the item is not there, an order line is created against the same job, so the planner can see when the follow-up visit can take place.
Keep van and stockroom current
Used parts are booked off through the engineer's job card. Whatever an engineer takes from the stockroom into his van is recorded as a transfer. Periodically someone counts the van and stockroom, with the software showing differences and asking for a reason, such as a return to the supplier or a damaged slat.
Alongside your purchasing and suppliers.
Stock is often kept in a spreadsheet or the item module of the accounting package, with orders placed through the supplier's web shop or ordering portal. We use the item codes you already have and add the attributes that matter for shutters. Supplier deliveries can be imported rather than keyed in by hand. The stockroom owns the stock levels; the supplier owns product data and lead times.
Track van stock or not
An engineer with the common motors in the van can more often replace in one visit. Tracking that van stock tells you what is out on the road and what needs topping up. It does take discipline when booking parts off. You could start with only the expensive items, such as motors, and add smaller ones once that runs smoothly.
Keep in stock or order per job
Holding common motor types makes you faster but ties up money and space. Ordering unusual slat colours or rare motors per job is cheaper but leaves the customer waiting on the supplier. Usage over a recent period shows which items come back often enough to keep on the shelf.
Keep offcuts or write them off
A slat offcut can be exactly right for replacing one or two slats. If offcuts are not recorded, they end up thrown away or take too long to find. Recording them takes seconds per piece; the trade-off is whether you do enough small repairs in the same colours to make it worthwhile.

The item list holds motors and slats with their attributes, with reservations per accepted proposal, booking off through the job card and a simple stock count. Your existing items are brought over at the start. Together we go through an ordinary week of replacements, and an urgent call where the only fitting motor is already reserved for another customer. Van stock per engineer, offcuts and importing supplier deliveries can be set up later.

Explore pricing and optionsHow do we stop a reserved motor being taken anyway?
A reserved motor is assigned to a job in the software. If an engineer wants it for another visit, he sees it is already committed. The planner can move the reservation if that works better, but it happens deliberately and visibly to everyone.
Can we see which motor types keep coming back with faults?
Yes, if the job card records which motor was removed and which was fitted. You then see per type how often it appears in a fault and how many you hold in stock. That helps decide which types belong in the van as standard and which are better ordered per job.
Does this work with our suppliers' ordering portals?
If a supplier provides an order confirmation or packing slip as a file or export, we can import it. Ordering itself usually still happens in the supplier's portal. Where a supplier cannot provide that, someone records the delivery on a short screen when the shipment arrives.
Do we need a full stock count before we start?
An opening balance is needed, but it can be built up one item group at a time. Start with motors, because they are the most expensive and cause the most scheduling trouble. Slats and small parts follow, so the stockroom does not have to shut for a whole day.
