Repairs and specialist services: Digital job cards for roller shutter service companies

Digital job cards for roller shutter service companies on which the engineer records, per shutter, what he found, which parts he used and what is still outstanding.

Digital job cards for roller shutter service companies. A digital job card that tracks preparation, execution and handover. Example with demonstration data.

What a job card for roller shutter service companies should hold.

After a service call the engineer often scribbles a few words on a paper ticket: motor adjusted, strap replaced. That tells the office very little. Which motor was fitted, were the end limits reset, were the slats running cleanly in the guides? Roller shutter service companies lose exactly the information they need at the next breakdown. Parts used get left off the ticket, so they are never invoiced and the van is never restocked. And when a shutter fails again shortly afterwards, nobody can trace what was done last time or what the engineer could already see coming.

  1. 1

    Ticket ready before the drive

    Done

The engineer opens a ticket that already holds the report, address, shutter size and symptom.

  2. 2

    Record checks per component

    In progress

On site the engineer runs through a short check: motor and end limits, slats and bottom rail, guides, box and controls.

  3. 3

    Close with open points

Before leaving, the engineer confirms the shutter works fully and notes anything that needs attention, such as a wearing guide or a motor nearing the end of its life.

From preparation to signed-off card.

Ticket ready before the drive

The engineer opens a ticket that already holds the report, address, shutter size and symptom. If there is an earlier visit to the same shutter, he sees what was done then and which motor type is fitted. The parts from the repair proposal are listed too, so he can check he has everything with him.

Record checks per component

On site the engineer runs through a short check: motor and end limits, slats and bottom rail, guides, box and controls. For each item he picks fine, adjusted or replaced, adding a photo where it helps. Parts used are chosen from his van list rather than written down from memory.

Close with open points

Before leaving, the engineer confirms the shutter works fully and notes anything that needs attention, such as a wearing guide or a motor nearing the end of its life. The customer signs on screen. Open points become a task for the office, for example a proposal for later replacement or a follow-up visit.

No more paper and loose photos.

Engineers often already carry a phone or tablet for navigation and calendar, while the office uses a planning board and an accounting package. The job card runs on that existing device and pulls its assignment from the schedule. The parts list comes from the product file you already keep, so motors and slats used keep the same codes. The engineer owns what he records on site; the office decides what gets invoiced and which open points are followed up.

Fixed checklist or free notes

A fixed list makes every engineer look at the same components, even when the fault seems obvious. It takes a few extra minutes but yields data that pays off when a fault recurs. A free text field remains for anything the list does not cover, such as a box full of leaves or damaged facade fixings.

Signature every visit or only for replacements

A signature after every adjustment feels excessive to some customers. For a motor replacement or extra work that was not in the proposal, approval matters. The job card can decide per type of work whether a signature is needed, so the engineer does not have to ask for one on every small call.

Book parts off the van or centrally

If the engineer books used parts straight off his van stock, the office knows what to restock. That only works when van stock is set up properly. Companies not ready for that can start by booking parts centrally against the job and add van stock once the setup is right.

What goes on the job card.

The fault ticket reaches the engineer prepared, with a per component check of the shutter, photos, the parts list and on screen sign-off. Which components the check covers is agreed at the start. Together we use it on an ordinary adjustment, and on a visit where the engineer finds a different fault from the one reported and uses extra parts. Booking off van stock and creating follow-up tasks from open points automatically can be switched on later on the same ticket.

Does the job card work without signal in a car park?

Yes. The ticket is loaded onto the device in advance and whatever the engineer records is stored until there is a connection again. Then everything goes to the office. The engineer can see whether his ticket has been sent or is still waiting, so he never wonders whether his record arrived.

Can we look back at earlier visits to the same shutter?

Yes, provided every shutter has its own place in the data, for example by its position on the facade or the room it serves. The engineer then sees previous tickets, the motor type and open points. At an address with several shutters this prevents confusion over which one was repaired before.

What if the engineer uses parts that are not on the list?

He can add a free item with a description and quantity. The office sees those lines separately and can link them to an existing product or create a new one. Nothing gets lost for the invoice and the list stays useful for next time.

Should the customer receive the job card?

That is your call. Customers often want a summary of what was done after the visit, without internal notes. The job card therefore separates what the customer sees from what is for the office only, such as an estimate of how much life the motor has left.
