Repairs and specialist services: Customer portal for roller shutter service companies
A customer portal for roller shutter service companies where residents and property managers can view and respond to their appointment, the repair proposal and the history of their shutters.
What customers of roller shutter service companies want to see.
After reporting a fault, customers of roller shutter service companies mainly want to know when the engineer is coming and what it will cost. They phone to confirm a time slot, ask for the repair proposal again because the email went missing, or approve by phone without anyone writing it down. Managers of an apartment block or shopping centre have another question: which shutters are already fixed, which are waiting for a motor and which proposal is still with the board. As long as that information is scattered across emails and calendars, a great deal of office time goes into chasing and searching, and it stays unclear who approved what and when.

From invitation to approval.
Access per address or property
A homeowner sees only their own address and shutters. A property manager gets access to every property they manage, optionally with a separate login for a colleague or board member. You decide who sees what, so a tenant might see the appointment but not the proposal sent to the owner.
Show current appointment and proposal
The portal shows the booked appointment with its time slot, the engineer coming and what is expected of the customer, such as access to the room with the box. The repair proposal sits alongside with parts and assumptions. If the appointment moves, the customer sees it immediately rather than via a phone call.
Send approvals and questions back
The customer can accept or decline the proposal, or ask a question on a specific line. That response reaches the office as a task linked to the right shutter. An approval is stored with date and name, so ordering the motor and booking the follow-up visit can start straight away.
Less email, the same records.
Customer details usually live in the accounting package or a customer list, appointments in the schedule and proposals as separate documents in email. The portal reads from those existing sources instead of storing everything again. A housing association with its own reporting system can keep using it; the portal then shows the status of those reports on your side. You own proposals and appointments; the customer owns their contact details and access instructions.
Login or a personal link
A homeowner reporting a fault once does not want to create an account. A personal link per report is enough to see the appointment and proposal. Managers with many properties benefit from a permanent login with an overview. Both routes can exist side by side with the same data behind them.
Online approval or always in writing
Approving with a click in the portal is quick, but some commercial clients work with purchase orders and want a signed document. The portal can record both: a click for homeowners, an uploaded order confirmation or purchase order number for businesses. You decide what counts as approval.
Show history per shutter or not
For a property manager it helps to see how often a shutter has been repaired, for example when deciding whether to replace it. Too much technical detail can also raise questions better discussed with an engineer. A summary per visit, without internal notes, is usually a sensible middle ground.

Per address the customer sees appointments and repair proposals, approves or asks a question, and hears when an appointment moves. Access is through a personal link per report, which we set up at the start. Together we try a homeowner accepting a motor replacement, and a manager who accepts part of a multi-shutter proposal and declines the rest. Permanent logins for managers and service history per shutter go on whenever you want them.

Explore pricing and optionsCan a tenant see something meant for the owner?
Only if you set it up that way. Access is defined per role: a tenant can see the appointment and access instructions, while the priced proposal is visible only to the owner or manager. Costs never end up with the wrong person.
What happens if the customer accepts only part of the proposal?
The portal allows approval per line or per shutter. The office sees which part was accepted and adjusts scheduling and ordering accordingly. The declined part stays visible as an open proposal, so it can still be accepted later without anyone drawing up a new document.
Can customers report a new fault through the portal?
Yes. A known customer picks the shutter concerned, so size and operation are already on record. They only describe what is wrong now and can add a photo. The report lands in the same list as reports from the website, so the planner misses nothing.
Do we need to put all our old documents in the portal?
No. Starting with current appointments and proposals is enough. Older job cards can be added per customer when there is demand, for instance from managers who want an overview of their properties. The portal works without a complete history and fills up as new visits happen.
