Repairs and specialist services: Quotation software for sewing machine service centres
Quotation software for sewing machine service centres that puts diagnostic time, labour and parts per machine into one proposal, so the customer decides on repair knowingly after diagnosis.
Where quotes for sewing machine service centres get stuck.
A sewing machine service centre can often only say what a repair costs once the machine has been opened. Then a skipped stitch turns out to come not from the needle but from a worn hook, or a dirty feed is joined by a broken gear. The technician phones the customer with a figure from memory, the customer hesitates because a new machine might cost less, and asks for time to think. The call is not recorded anywhere, and at collection nobody remembers exactly what was agreed. With older machines there is also the question of whether a part can be obtained at all.

Turn diagnosis into line items
After the diagnosis the technician records what was found, in a few lines per finding. Each finding gets its labour and parts, split between what is needed to fix the complaint and what is sensible but can wait. Diagnostic time is listed separately.
Check parts and lead time
For each part the system checks whether it is in stock, needs ordering or is available second-hand from a donor machine. If the lead time is long or availability uncertain, the proposal says so, so the customer knows the machine will not be ready tomorrow and can weigh whether the repair is worthwhile.
Record the customer's choice
The proposal goes to the customer by message, with a short explanation per item. The customer chooses the full proposal, only the essential repair or no repair. That choice is stored with a date on the service card, so the counter knows exactly at collection what was done and what was agreed.
Alongside your calculations and price lists.
Labour and parts prices currently sit in the till system or a supplier price list. We use those lists as the source, so a part price is not kept in two places. The workshop lead manages rates for diagnosis and labour. Part numbers come from the catalogues you already use. The proposal is stored on the service card, so it can be found again for the invoice and any warranty claim.
Deduct the diagnosis fee or always charge it
Some centres only charge for diagnosis when the customer declines the repair; others always charge it and lower the repair price accordingly. The first lowers the threshold, the second is fairer to customers who do go ahead. Which suits you depends on how often customers drop out after diagnosis.
Split essential and recommended work
Quoting everything as one figure is simple, but a customer startled by the total often has nothing done. Splitting what fixes the complaint from what is preventively sensible gives them room. The risk is that recommended work keeps being postponed. Record what was offered, so it comes up again at the next service.
New part or used from a donor machine
For older machines, new parts are sometimes no longer available or disproportionately expensive. A used part from a donor machine can save a repair but needs an honest explanation about warranty. Show in the proposal which option is used and what that means, so the customer does not find out later.

The quoting module turns the technician's diagnosis into a proposal with diagnosis, labour and parts, and the customer's choice lands on the service card. At the start we record your rates for diagnosis and labour, and reminders are ready for customers who do not reply. Together we go through an ordinary feed dog repair, and an old machine whose part can only be taken from a donor machine. Fetching part prices from suppliers automatically can be switched on whenever you want.

The service card then stays on awaiting approval, and the system can send a reminder after an agreed period. If there is still no reply, the workshop can set the machine aside for collection without repair. That way no machine sits on the shelf indefinitely.
Can we quote without opening the machine?
For a standard service, yes, because its content is fixed. For faults it is difficult, because the same complaint can have different causes. An indication based on the complaint is possible, provided it is clear that the final proposal follows after diagnosis at the bench.
How do we handle repairs that cost more than a new machine?
By saying so honestly in the proposal. The technician can note that the repair is technically possible but expensive relative to the age or value of the machine. The customer decides, and your choice to point it out builds trust for the next time they need you.
Can the customer have part of the proposal done later?
Yes. Anything declined or postponed stays on the service card. When the machine comes back, the technician sees what was recommended earlier and can include it in a new proposal, with an updated price if needed.
