Repairs and specialist services: Digital job cards for sewing machine service centres

Digital job cards for sewing machine service centres that record findings, replaced parts and the test stitching per machine, so both the customer and the next technician can see what was done.

What a job card for sewing machine service centres should hold.

After a repair at a sewing machine service centre, the ticket often just says service plus tension adjusted. What the technician actually found, which parts were replaced and what the test stitching looked like afterwards is not kept. If the customer returns a month later with the same complaint, the technician does not know whether the hook was adjusted or replaced last time. In a warranty dispute there is no way to show the machine sewed properly when it left. For technicians themselves it is also hard to learn which complaints recur on which models.

The technician opens the machine's service card at the workbench.

  2. 2

    Record findings and parts

    In progress

While working, the technician briefly notes what is found and done, and scans or selects the parts used.

  3. 3

    Capture the test stitching

    Next

After the repair the technician sews a test on a standard swatch, or on the customer's fabric if supplied.

From preparation to signed-off card.

Service card at the bench

The technician opens the machine's service card at the workbench. It shows the complaint, the customer's stitch sample, the agreed repair and the accessories that came in. Earlier visits for the same machine are visible, so the technician sees what has been done before.

Record findings and parts

While working, the technician briefly notes what is found and done, and scans or selects the parts used. If the repair departs from what was approved, for instance because a second defect appears, the card goes back to awaiting approval rather than the technician carrying on regardless.

Capture the test stitching

After the repair the technician sews a test on a standard swatch, or on the customer's fabric if supplied. A photo goes onto the service card with the stitch, needle and thread used. Only then does the machine move to ready, and the customer can take the test swatch home at collection.

No more paper and loose photos.

Service cards are currently paper tickets or lines in the till system. The digital job card uses the same customer and machine details and adds findings, parts and photos. Parts are booked out of the stock you already track. The technician is responsible for the content of the card, the counter for the handover. Photos of test stitching stay with you and are only shared with the customer if you choose.

Free notes or set findings

Free notes are quick and let technicians write in their own words, but are hard to search. A fixed list of findings, such as hook worn or feed dogs clogged, makes it possible later to see which defects are common on which models. A short pick list with room for comment combines both.

Test stitching always or only for faults

For a fault repair, test stitching is a matter of course. For a routine service it seems unnecessary, but it is also proof of how the machine left the shop. A quick photo of a standard swatch takes little time and avoids argument over a later complaint. Keep the photo with the card.

Screen at the bench or fill in afterwards

A screen at the bench lets you record as you go but means the technician has to free their hands in between. Filling in afterwards is calmer, but details get lost. A few buttons at the bench for the essentials and a short addition afterwards works in many workshops.

What goes on the job card.

At the bench the technician opens the service card with the machine's history, records findings and parts and takes a photo of the test stitching. A fixed list of findings per machine type is ready for you at the start. Before it goes live, we work through an ordinary service and a repair in which a second defect turns up halfway that needs the customer's approval first. Sharing the test stitching with the customer can be switched on afterwards.

Can we see a machine's history when it comes back?

Yes. Each machine has its own card based on serial number or model code plus customer. When it returns, the technician sees every earlier visit with findings, replaced parts and test stitching. That helps most with recurring complaints and warranty claims.

What if the machine changes owner?

The history belongs to the machine, not the customer. If a machine is sold on and comes in with a new owner, the workshop can link the history to the new customer. Whether the new owner may see the old history is something you decide case by case.

Does the technician have to scan every part?

Not necessarily. For small parts such as springs or screws a standard line can be enough. For costlier parts such as hooks, motors or circuit boards, logging each one makes sense, because they count towards price and warranty.

How do we record that the customer collected the machine?

At collection the counter confirms the handover on the service card, with the date and possibly a signature on screen. The accessories ticked off at booking in are checked again. That way it is clear afterwards what went back with the customer.
