Business supplies and services: Digital job cards for promotional product suppliers

Digital job cards for promotional product suppliers that give the printer the approved proof, ink colours and run checks, and report anything that goes wrong straight back.

What a job card for promotional product suppliers should hold.

At promotional product suppliers, the paper job card is often a printout of the order with a copy of the proof attached. If the customer sends a correction after the first approval, an old proof sometimes ends up at the machine. The printer is not sure which colour code applies, whether the logo goes on the left or right of the bag, or whether the customer accepts a slight colour variation. During the run, misprints land in a bin without anyone counting them. At the end the run turns out to be short, or a complaint arrives that can no longer be traced to what happened at the machine.

Job card with the valid proof

The job card shows only the proof marked as approved, with item, technique, position and colour codes. Any earlier version is visible as superseded. If the customer left a note with their approval, such as a preference for a darker shade, it appears at the top. The printer only starts after opening the card.

First piece and count

The first good piece is photographed and attached to the card, giving a reference for the rest of the run. While printing, the operator counts approved and rejected units, with a short reason for each reject: misaligned, smudge, colour deviation or damaged blank. Any shortfall is visible straight away.

Mark ready for packing

After printing, the operator marks the order as done with the number of good units. If that is below the ordered quantity, production planning is alerted to decide: reprint, top up from stock or deliver short after agreeing it with the customer. The packer then sees which items are ready and how they must be packed.

No more paper and loose photos.

The order originates in the quotation or order system, and the approved proof comes from the studio or the proofing portal. The job card pulls both in and adds nothing that already lives there. Printers use a tablet or screen at the machine, or a printed card with a code that links to the current version. Rejects and counts flow back into the order system, so sales can see what can be delivered without walking into the workshop.

Screen at the machine or printed card

A screen always shows the current proof and makes counting easy, but is not practical at every machine because of ink or space. A printed card with a code is sturdier, but requires the printer to scan the code before starting. Many workshops combine the two: paper for the overview, screen for proof and counting.

Count rejects or estimate them

Counting each unit gives an exact picture, but takes time during a long run. Estimating at the end is quicker, but makes it hard to see which item or technique consistently produces more rejects. A middle route is counting per box or per stack, with a short reason for each group of rejected units.

Customer sign-off on the first piece

For large runs or critical brand colours, a photo of the first piece can go to the customer for approval. That avoids a rejected delivery, but holds the machine until the customer replies. Decide per customer or order size when that is required, so the printer does not have to make that judgement alone.

What goes on the job card.

The job card shows the valid proof; the printer records the first piece, counts rejects with a reason and marks the order complete. That is how we set it up at the start for each machine. With your printers we walk through an ordinary one colour order, and an order where the customer sends a correction after approval. Handover to packing and an overview of rejects per item can be switched on once the job card is in daily use.

What if the customer changes the proof while the order is already on the machine?

The old proof is marked as superseded and the job card shows a clear warning. The printer stops and records how many units were already printed with the old version. Production planning and sales then decide together whether those units are written off and who bears the cost.

Do printers need to type a lot while working?

No. Most actions are buttons: start, photograph the first piece, enter the number of good or rejected units and pick a reason from a short list. Only an unusual situation calls for a brief note. That keeps work at the machine moving and the card tidy.

Can we look back at what happened during printing after a complaint?

Yes. Each order holds the proof that applied, the photo of the first piece, the count of good and rejected units and the printer's name. With a complaint about colour or position you can quickly see whether it went wrong in production or already at the approval stage.

Does this also work for embroidery and garment printing?

Yes, the job card adapts to each technique. For embroidery it shows the stitch file and thread colours, for garment printing the size breakdown per colour. Counting and rejects work the same way, so the overview stays consistent and comparable across all techniques.
