Food and specialist retail: Scheduling software for preserve makers

Scheduling software for preserve makers that lines up cooking batches, filling line changeovers and available jars, so every batch fits a planned delivery.

Scheduling software for preserve makers. A schedule that compares resources and availability, then confirms an appointment. Example with demonstration data.

What makes scheduling hard for preserve makers.

For a preserve maker, the order of recipes matters a great deal. After a chutney with mustard seed the pan needs a thorough clean before a jam that must be free of that allergen, and a different jar size means changing over the filling line. A schedule that only puts orders on dates misses all of that. You end up with a day full of mixed jar sizes, or find out at filling time that lids for that size have run out. Seasonal fruit arriving needs to go into the pan quickly, while a private label with a fixed delivery day also wants priority. The planner juggles pans, people and packaging without seeing them together.

From job to confirmed appointment.

Derive batches from orders

Open orders and expected seasonal fruit are turned into cooking batches per recipe version. The system shows how many jars each batch yields and which orders it fills. The planner can see whether two small orders of the same flavour can share one pan instead of starting up twice.

Weigh sequence and changeovers

Scheduling accounts for cleaning between recipes with different allergens and for filling line changeovers when the jar size changes. The system suggests a sequence with as few switches as possible and shows whether jars, lids and labels are on hand for that day. If packaging is short, the batch gets a warning.

Lock the day plan

Once the planner is happy, the day is locked and the kitchen gets a production list per pan. If a load of fruit turns up unexpectedly or someone is off sick, the planner moves batches and immediately sees which delivery dates are at risk. Customers with a fixed call-off take priority under the rules you have set.

Alongside your calendar and your team.

Production is often planned on a whiteboard in the kitchen or in a weekly spreadsheet. Orders come from the online shop, email or a wholesaler portal. We bring orders in from those sources and take recipe versions from your recipe records. Stock of jars and lids is counted by whoever does the buying and stays their responsibility. The schedule writes nothing to the accounts; that only happens once a batch has been filled and delivered.

Make to order or make to stock

Some flavours sell so steadily that you cook them for stock and ship from the shelf. Private label and seasonal products are made to order. The schedule handles both, but it helps to record per product which rule applies. On a quiet day the planner then knows which stock lines can be topped up without an order behind them.

Sequence by allergen or by jar size

Cleaning between allergens and changing over the line both take time, and the best sequence for one is not always best for the other. A kitchen with one pan and one line will choose differently from a business with several. We record your own rules and show the planner what an alternative sequence costs.

Process seasonal fruit at once or freeze it

When a large load of fruit arrives at once, it can go straight into the pan or into the freezer for later. Processing immediately squeezes the whole schedule; freezing needs space and can change the texture. The schedule shows what happens to open orders if you process straight away, so the decision is not made on gut feeling.

What we set up in the schedule.

Cooking batches and filling slots for one kitchen are planned based on orders, recipe versions and packaging stock. With you we run an ordinary week, and a week in which a large batch of fruit arrives unexpectedly; the whiteboard can stay up meanwhile, so the kitchen can compare what the overview shows better or worse. The link with the wholesale portal and planning across several kettles or lines can be switched on when you have them.

Can the schedule handle several pans of different sizes?

Yes. For each pan you record its capacity and which recipes it suits. The system suggests the pan a batch fits best. A small private label run can then go into a smaller pan rather than running the large one half full.

How do we deal with rush orders from a regular customer?

A rush order joins the list as a new batch with the requested delivery day. The planner sees which batches need to move and which deliveries slip as a result. Only once that choice is made does the kitchen receive an updated day plan, so nothing changes halfway through a shift.

Does the kitchen see which recipe version to use?

Every batch in the schedule is tied to a specific recipe version. The production list shows not just the flavour but the version, so an adapted private label recipe is not confused with the standard flavour being cooked the same day.

Can we share the schedule with staff who do not use a computer?

The day plan can run on a screen in the kitchen or be printed per pan. Staff do not need to edit anything; they see what is cooked and filled today and in which order. Changes go through the planner, who pushes them to the screen.
