Food and specialist retail: Enquiry form for preserve makers

An enquiry form for preserve makers that asks about flavour, jar size, label, volume and delivery timing as soon as someone is interested in private label or an adapted recipe.

Enquiry form for preserve makers. An enquiry form that collects the required information step by step. Example with demonstration data.

What makes an enquiry complete for preserve makers.

A private label request often starts with an enthusiastic email: a hotel wants its own jam at breakfast, a gift company is putting together a Christmas hamper with several flavours. What is missing is exactly what the preserve maker needs to judge whether it can be done. Is it an existing recipe or an adaptation? Which jar size, and is that a standard jar or something unusual? Who supplies the label artwork, and does it still carry the required product information? How many jars at a time, and how often? Every open question costs another round of email, and meanwhile the moment to schedule the cooking batch slips away.

From form to assessed enquiry.

Pick a route at the start

The enquirer first chooses whether this is an existing product with their own label, an adapted recipe or something new. Each route has its own follow-up questions. For an existing product, flavour and jar size are enough; for an adapted recipe, the form asks which ingredients should change and whether allergens are added or removed.

Ask about label and volume

Next comes the label: will the customer supply artwork, which text must appear and will it be in more than one language. Then the expected volume per delivery, how often and a first delivery date. If something that determines batch size is missing, the form notes that it will be needed later.

Hand over a complete request

The enquiry arrives as one overview with route, recipe wishes, label details and volume. Whoever assesses it sees which points are still open and can ask about them directly. A request that is clearly beyond your capabilities, such as a jar your filling line cannot take, is flagged straight away.

Enquiries in one place, not the inbox.

Enquiries now arrive by email, through a contact form or after a chat at a trade fair. The new form sends to the same inbox or to the system where you keep customers and orders, with fixed fields instead of free text. The recipe list belongs to the kitchen; the form only shows which base recipes are open for private label. Label files uploaded by a customer are stored with the enquiry until it turns into an order.

Short form or full intake

A short form lowers the barrier but produces requests that still need a lot of work. A long questionnaire puts off a small shop that simply wants a few cases with its own label. A middle route is a short start with follow-up questions that only appear for the chosen route, so a hotel fills in less than a brand wanting a new recipe.

Samples first or straight to an order

Many trade customers want to taste first. Some makers send sample jars as standard for a serious enquiry, others charge for a small trial batch of an adapted recipe. The form can ask whether tasting is wanted and so surface that choice early. The kitchen then knows whether a trial batch needs scheduling before a real order exists.

Customer supplies the label or you design it

Supplied artwork saves work, but it still has to fit the jar and carry the correct product information. Designing it yourselves gives you more control and more work. The form asks which of the two the customer expects, so pricing and scheduling take it into account from the beginning.

Which questions the form asks.

Three request routes, questions about label and volume, uploading a design and an overview for whoever reviews: that is how the form is ready at the start. Together we replay a simple request for an existing flavour with a custom label, and a tricky case: an adapted recipe without nuts for a customer who supplies a bilingual label themselves. Passing an approved request on to the quote can be switched on once requests come in smoothly.

Can customers build their own recipe in the form?

Better not. A freely assembled recipe says little about taste, shelf life or how it behaves in the pan. The form lets a customer pick from existing base recipes and describe what should change. Whether that change is workable is something your kitchen judges afterwards.

What happens with consumer requests through the same form?

The first question asks whether this is a trade or a personal order. A consumer asking about a gift box is sent to the online shop or gets a short version of the form. That keeps the trade list clear for whoever prepares prices.

How do we handle a label in another language?

The form asks which languages the label needs and whether the customer provides the translation. That goes into the assessment, because more text can mean a larger label or a different jar. You want to know that before naming a price.

Can the form ask about a customer's shelf life requirements?

Yes. Some buyers, such as gift companies that pack well ahead, want a minimum remaining shelf life on delivery. A field can capture that. When assessing, you then see whether the requested delivery date and the recipe's shelf life work together.
