Food and specialist retail: Customer portal for preserve makers
A customer portal for preserve makers where shops and private label customers approve label proofs, call off deliveries and look up past deliveries with their batch code.
What customers of preserve makers want to see.
A private label customer gets a label proof as an email attachment, sends comments back in a different thread and a week later approves a version that turns out not to be the latest. Meanwhile a regular deli phones to call off a delivery but cannot remember how many jars are left from the agreed run. A gift company asks in November what best before date was on the last shipment. For preserve makers, all of this arrives by email and phone with the same few people, who have to look it up between cooking.

Scope access per customer
Each buyer sees only their own products, labels and agreements. A private label customer sees their label versions and agreed run size; a shop sees its regular range and prices. Within a customer account you decide who may approve and who may only call off, so a buyer cannot approve artwork by accident.
Show proofs and call-offs
A new label proof appears next to the previous version. The customer adds comments or approves, and that approval belongs to exactly that version. For deliveries, the customer sees what remains under a framework agreement and places a call-off with a preferred date and quantities per flavour.
Keep replies with the order
An approved label version goes to the printer and is locked for the next batch. A call-off lands in the schedule as an order. Questions the customer asks in the portal stay attached to that delivery or label, so a colleague can pick up the conversation without searching through inboxes.
Less email, the same records.
Label designs now come from a designer or from the customer, and deliveries are called off by email or phone. The portal replaces that email traffic, not the design software or the accounting package. Label files belong to the customer or designer; you manage which version is approved. Invoices and outstanding balances can appear in the portal if the accounting package passes them on. Orders from the portal join the same list as orders from other channels.
Portal for every buyer or private label only
Private label customers gain most from a portal because of label approval. Ordinary shops often prefer to order by email or through a wholesaler. You can start with private label and invite shops later if they ask. Nobody then has to create an account for something they do twice a year.
Free ordering or call-offs within an agreement
A customer can order whatever they like, or only call off within an agreed total and delivery pattern. Free ordering is flexible but makes the kitchen schedule unpredictable. Call-offs within a framework agreement give you sight of what is coming. The portal follows whichever rule was agreed with each customer.
Show batch details or on request
Some buyers want to look up the batch code and best before date for every delivery for their own records. Others have no need for it. Showing it by default saves questions, but the data then has to be right every time. A middle route is to show it for trade deliveries and leave it off one-off orders.
What customers find in the portal.
Private label customers see their label versions with approval in the client portal and place call-offs within their agreement. Together we go through an ordinary call-off, and a customer who still wants to change an approved label after the printer has started. One or two regular private label customers can use it first, so their comments feed into the setup. Shop accounts, invoices and batch details per delivery can be switched on when other buyers follow.

Explore pricing and optionsCan a customer see when their delivery is being made?
Yes, if you want that. The portal can show per call-off whether the batch is scheduled, cooked or ready to ship. You can also choose to show only an expected delivery date, so customers do not ring every time the kitchen schedule shifts.
How do we make sure the right label version gets printed?
Only the version the customer approved in the portal gets released status, and the printer sees only that version. If the customer wants a change later, a new approval starts and the previous version stays valid until the new one is signed off.
Can several people at one customer log in?
Yes. Each customer can have several users with their own permissions. A marketing person approves labels, a buyer places call-offs. Approval always comes from someone who is responsible for it, and you can see afterwards who did what.
Do customers have to install an app?
No. The portal runs in the browser on computer and phone. A customer receives an email invitation and sets their own password. For buyers who only need something now and then, a personal link per label proof can be enough.
