Design and creative production: Inventory software for podcast studios
Inventory software for podcast studios that tracks microphones, cables, recorders and recording storage, so you know what is in each room, what is out on loan and where recordings are kept.
Where stock drifts for podcast studios.
Inventory at podcast studios looks manageable until a location recording comes along. Two microphones and a portable recorder go out to an office, and the next morning they are missing from the large room. A cable that crackles is put aside but never marked as faulty, and turns up again in a set-up a week later. Recording storage is inventory too: raw recordings, separate tracks per voice and exports sit on drives and in folders where nobody quite knows what must be kept. When a client asks for an old raw recording, the search spans several drives.

Register gear and storage
Every microphone, recorder, headphone and cable set gets its own record with the room it belongs to. Storage locations for recordings are recorded as well: which drive or folder, which series it holds and how long raw recordings are kept. Equipment and recorded material can then be traced in the same way.
Reserve gear for sessions
For a location recording or a session with extra guests, the engineer reserves the equipment on the session itself. The schedule then knows those microphones will not be in the room at that time. A reservation that clashes with another session shows up before anything leaves the building.
Update returns and status
On return the engineer ticks off what has come back and marks anything that did not work properly. A faulty cable or microphone gets a status and stays out of set-ups until it has been checked. Storage works the same way: once a series is finished, it is settled which raw recordings are archived or deleted.
Alongside your purchasing and suppliers.
Podcast studios often track equipment in a spreadsheet or not at all, and storage in folders on a network drive or a cloud storage service. The inventory software replaces the spreadsheet and points to the storage without moving any files. Labels or stickers with a code on the equipment can be scanned with a phone. The studio owns the equipment list; agreements on how long recordings are kept sit with the studio and are recorded per client.
Track items or sets
Individual microphones and recorders are valuable enough to track one by one. Cables, stands and pop filters are usually better tracked as a set per room. A set that goes out on location is reserved as a whole, with a short checklist on return. Tracking stays light without expensive items slipping out of view.
Keep raw recordings or clear them
Raw recordings with separate tracks per voice take up a lot of space, but they are needed if a client later wants a different edit. How long they are kept should be decided and recorded per client. The software shows which raw recordings are nearing the end of their retention period, so clearing them is a deliberate decision.
Rent out gear or internal only
Some studios rent out microphones or a portable kit to creators who record themselves. That calls for reservations by outside parties, a deposit and a check on return. If it rarely happens, a simple reservation under a name will do. If it happens often, rental deserves its own flow with its own availability.

Equipment and storage locations are recorded, with reservations per recording and a return check with defect status. We run an ordinary week together and an exception: a location recording that overruns by a day while the same microphones are booked in the studio. Scanning labels with a phone and an overview of raw recordings nearing their retention period are switched on once the records are complete.

Explore pricing and optionsDo we have to register every cable separately?
No. Cables, stands and small parts can be tracked as a set per room. Only items that are valuable or often go out on location are registered individually. That choice can be changed later if something keeps going missing.
Can we see where an old raw recording is stored?
Yes. Every storage location is linked to series and episodes. If a client asks for an old recording, you search by episode and see which drive or folder holds the raw files, and whether they are still kept.
How do we stop faulty equipment being used again?
An engineer flags a fault on return or during set-up. That item gets a status and no longer appears when reserving. Only once someone has checked and released it does it return to the available stock.
Does this work with an external storage service?
Yes. The software does not store recordings itself but points to the folder in whichever storage service you use. Permissions and backups stay where they are arranged today, and you can still see per episode where the material lives.
