Design and creative production: Customer portal for podcast studios
A customer portal for podcast studios where clients play listening copies, leave timecoded feedback and approve each episode, without loose emails full of attachments.
What customers of podcast studios want to see.
At podcast studios a listening copy usually leaves as a download link. The client replies by email with remarks like: somewhere in the middle the guest says something that needs to come out. The editor then searches through a forty minute episode for the right moment. Meanwhile a colleague at the client sends their own notes, some of them contradictory. After three rounds nobody is sure which version is the latest or which notes have been dealt with. Even approval arrives in an email that still contains one small request, so it is not really an approval at all.

Set access per client
Each client gets access to their own series or episodes. Within that client it is recorded who may listen, who gives feedback and who signs off. A guest can be allowed to hear only their own episode, without access to the rest of the series.
Show copies with timecodes
The newest listening copy sits at the top with earlier versions below. The client listens in the browser and places a comment at the exact moment, so the editor knows precisely what it refers to. Comments from different people at the same client are grouped, so contradictions show up before the editor starts work.
Tie approval to a version
Approval is given on a specific version by the person designated to do so. Approving with open comments is not possible: those comments are resolved or withdrawn first. Once approval is in, the studio sees it on the episode card and the publishing step can begin.
Less email, the same records.
Podcast studios mostly send listening copies through a file transfer service or a private link on a podcast platform. The portal replaces that delivery, but the files can stay where the editor exports them today. We agree which version goes to the portal and in what format. The studio owns the files and episode details; the client owns their feedback and approval, both kept with the version they refer to.
Timecoded or general feedback
Timecoded feedback is precise, but some remarks are about the whole episode, such as the length or the tone of the intro. So the portal supports both: a comment at a moment and a general comment on the version. The editor sees them in one list sorted by timecode, with general remarks at the top.
One approver or a chain
With an independent creator one person signs off. At a company the host may need to approve first, then communications, and sometimes legal. A chain in the portal shows where the episode is waiting, but it also slows things down. We agree per client who genuinely needs to approve and who is just reading along.
Download files or stream only
Clients sometimes want to download a listening copy to play on the go. Handy, but a downloaded copy leads to feedback outside the portal. Streaming keeps everything together, while the final file can still be downloaded after approval. Whether interim versions are downloadable can be decided per client.

Each client has access ready with listening versions, feedback at timecode and approval per version. We practise an ordinary episode with one feedback round together and an exception: two people at the client leaving contradictory comments on the same segment. An overview per series for the client and the publication date once the episode is scheduled can be switched on after that, once clients find their way around it.

Explore pricing and optionsCan guests hear their own episode in advance?
Yes, if the client wants that. A guest then gets access to their episode only and can comment, but cannot approve. Their comments are marked as guest feedback, so the client decides whether they are acted on.
What happens to feedback on an old version?
Feedback stays with the version it was given on. When a new version arrives, the client sees which comments are marked as resolved in it. An unresolved comment on an old version is visibly carried over to the new one.
How many listening rounds can the portal handle?
As many as needed. The portal does count the rounds, so it becomes visible when the number exceeds what the quote allowed. The studio manager then decides whether that extra round is charged or absorbed.
Do clients need to create an account?
They receive a personal email invitation and set up their own login the first time. For a guest listening once, a restricted link tied to that one episode alone can be enough, and it expires after approval.
