Outdoor spaces and grounds: AI enquiry assistant for playground builders

An AI enquiry assistant for playground builders that answers questions about site preparation and scheduling with approved explanations, and passes questions about safety and standards to a person.

Which questions playground builders keep getting.

Clients of playground builders have plenty of practical questions before installation. Does the site need to be empty, who removes the old equipment, does the school need to move the bikes, can a lorry get onto the playground, how long is the area closed, can children play straight after installation? Then come questions needing more expertise: whether an existing piece still complies, whether a self-laid surface is adequate or what a remark in an inspection report means. The office repeats the practical answers again and again, and a mistake on a safety question is simply not acceptable.

Choose sources for preparation

The assistant only uses text you have approved: guidance on clearing the site, access for lorries and cranes, fencing, the order of works and when a site may reopen after inspection. Questions about the safety of existing equipment and about standards are deliberately left out of those sources.

Interpret and limit the question

The assistant works out whether a question concerns preparation, an ongoing project or safety. For preparation it gives the matching explanation. If it concerns the safety of a piece or the meaning of an inspection report, it gives no judgement and refers the person to a member of staff.

Answer or hand over

If the answer is in the sources, the assistant gives it with a link to the explanation. If not, or if someone reports damage to equipment in use, the question goes to the office with the photo and the person hears when to expect contact. In a dangerous situation it advises closing off the piece and calling straight away.

On your own information, with a person behind it.

The basis is the information clients already receive before an installation, supplemented with explanations from the website and the answers office staff give. A specialist reviews and approves them. Handed-over questions arrive in the inbox or reporting system the office uses. The company owns the text and updates it when working methods change. For a trial period the office checks the answers alongside.

Before the project only or during it too

An assistant that only answers general preparation questions is simple to set up. If you want it to say when the crew is coming or when the inspection is, it must read the schedule and recognise the client. Many companies start with preparation and add project status later, once access rights are settled.

For clients or for the public too

An assistant for clients can say more about schedules and projects. One on the public site also gets questions from parents or residents about a play area they do not manage. For that group, a clear referral to whoever manages the site matters more than a detailed answer.

Strict or broad limits

The stricter the limits, the more often the assistant refers on. With play equipment the line sits at anything to do with safety, standards and inspection. Practical questions on preparation and scheduling it can answer. You set that line once and check it each time a source is updated.

What the AI assistant may answer.

At the start the assistant answers preparation questions from your approved text and hands every question on safety, standards and damage to the office. We try it out together with an ordinary question such as "does the playground need to be empty" and with a parent reporting that a swing chain seems loose. During the first period the office reads the answers back. Status of current orders for logged-in clients can be switched on after that.

Can the assistant say whether a piece is safe?

No, and that is deliberate. A judgement on safety needs an expert who sees the equipment, and sometimes an inspection. The assistant recognises such questions and passes them on. In an acutely dangerous situation it advises closing off the piece and calling at once.

What if a parent reports damage at a site we do not manage?

The assistant explains that whoever manages the play area is responsible and asks for the location. If you installed that site, the report can go to the office, which informs the manager. A report does not go missing.

How do we keep the answers current?

The sources sit in an editing screen where the office or a project lead updates and re-releases them. Questions that are often handed over appear in a list. You see which explanation is missing and can add it.

Does the assistant give information about playground standards?

Only general explanations you have approved, for example that rules apply to clearance space and surfacing. How those rules work out for a specific site is for an expert to judge. The assistant refers on for that and invents no interpretations.
