Business supplies and services: Customer portal for packaging design studios
A customer portal for packaging design studios where brand teams review proofs, pin comments to the right spot and approve copy for each variant.
What customers of packaging design studios want to see.
At packaging design studios a pack is rarely approved by one person. The brand manager looks at the visuals, quality assurance at the mandatory copy, someone from procurement at the coordination with the printer. They each send comments separately by email, sometimes on a printed proof that gets photographed, sometimes on an earlier version. The designer has to merge those streams and guess which comment has the final word. An approval is often a thumbs up in an email without saying which variant or which version. If an error later turns up on the pack, there is no way to prove what was signed off.

From invitation to approval.
The right people per brand
The brand decides who has access and what they may do: view, comment, approve copy or give final release. Quality assurance can then approve the copy before the visuals are final, and the studio knows who gives the last sign-off before any files go to the printer.
A proof for each variant
The portal shows the current proof for each variant, with the previous version alongside so differences stand out. Comments are pinned to a spot on the proof, so it is clear which line of copy or which detail is meant. Older proofs remain visible but are marked, so nobody comments on a superseded version by mistake.
Bundle comments into a round
The studio sees all comments per variant grouped together and can return conflicting points to the client, asking who decides. Once a round is closed, the designer produces the new version and it appears in the portal. An approval is stored against the version with a name and a timestamp.
Less email, the same records.
Proofs are now often emailed as files or shared via a download link, and comments come back by email or in an annotated file. The portal takes proofs from the studio's artwork record and returns the approval to that record. The brand owns its copy, users and approvals; the studio manages the proofs and the rounds. A printer can be given read access to the released version if the brand wants that.
One approver or several roles
A small brand where the owner decides everything needs just one sign-off. A larger brand with quality assurance and marketing wants separate approvals for copy and visuals. The portal handles both, but it is important to agree up front which role has the final say when they disagree about the same line.
Comments in the portal or in the file
Some clients are used to annotating a file and want to keep doing so. You can let them upload an annotated file, but you lose the overview per comment. A common middle ground is portal comments for copy and small points, with an upload for major design changes.
Physical or digital proof approval
A digital proof does not show colour and substrate the way a printed proof does. For colour critical packs a physical proof remains necessary. The portal can then record the receipt and assessment of that physical proof, with a photo, so that approval is also tied to the right version and can be found later.
What customers find in the portal.
In the portal, brands get access with roles, proofs per variant with comments in place and approval per version. Before the first client logs in, we replay an ordinary text correction together, and a situation where marketing and the quality department contradict each other on the same text. Sending released files to the printer and invoicing as soon as a design is approved can be switched on later.

Explore pricing and optionsDo clients need an account to view a proof?
Clients receive a personal invitation and log in with it. For viewing only, a secure link can be enough, but approving requires a personal login so it is on record who signed off. The brand itself manages who keeps access when someone changes role.
Can the client compare two versions side by side?
Yes, the previous and current versions sit side by side and the designer points out which areas have changed. That helps especially in copy rounds, where a small edit in a long ingredients list is easily missed by someone looking only at the overall pack.
What if a client comments on an outdated proof?
An outdated proof stays visible but is marked, and a comment on that version comes with a warning that a newer one exists. The designer still sees the comment and can judge whether it applies to the new version or has already been addressed.
Can we use the portal for other design work too?
Yes, it works for any design with versions and approval, such as displays, leaflets or labels for a trade fair. The approval flow stays the same; only the checkpoints and roles may differ by type. You configure that per kind of design.
