Food and specialist retail: Inventory software for nut retailers

Inventory software for nut retailers that tracks raw and roasted batches separately, with roasting date and shelf life, so it is clear what can be sold or mixed.

Inventory software for nut retailers. Inventory that shows present, reserved and usable stock separately. Example with demonstration data.

Where stock drifts for nut retailers.

At nut retailers the same nut exists in several forms: raw in wholesaler sacks, roasted in trays behind the counter and blended into mixes. A till system usually only counts what has been sold, not how many raw cashews are left on the shelf or how old the roasted batch is. With a large order nobody is sure there is enough, and part of the roasted stock turns out to be promised to another customer already. Roasted nuts also lose quality faster than raw ones. A nut retailer needs to know per batch what is there, when it was roasted and who it is already set aside for.

Make batches identifiable

Every sack of raw nuts received becomes a batch with variety, weight, supplier and date of receipt. After roasting, a new batch of roasted nuts is created with its roasting date and the weight after roasting loss. Raw and roasted sit side by side instead of disappearing into a single number.

Reserve stock for orders

A business order or mixing job reserves roasted stock, or raw stock that still needs roasting. The overview shows per variety what is present, what is reserved and what is free for the counter. When a new enquiry comes in, staff can see straight away whether it still fits.

Update counts and usage

Mixing cards and roasting batches book stock out and in automatically. Counter sales come from the till or are estimated at the end of the day by counting the trays. Differences between the count and the system become visible, so structural losses stand out rather than quietly adding up.

Alongside your purchasing and suppliers.

Nut retailers often work with a till system, delivery notes from the wholesaler and a note of what is stored upstairs or in the stockroom. The inventory software links to delivery notes for incoming goods and to the till for counter sales. The shop owns batches, locations and counts. The wholesaler remains the source of prices and delivery dates, which inventory only displays for reference.

Count per batch or per variety

Tracking per batch shows age and origin, but every tray needs a batch label. Counting per variety is quicker but does not tell you which cashews have been sitting too long. Batch tracking usually pays off first for expensive or sensitive varieties, while cheap fast movers can stay per variety for now.

Counter sales from the till or a count

If the till records sales per variety and weight, stock can be booked out directly. If the till uses general buttons per price group, an end-of-day count is more reliable. Which route works depends on how your till is set up today, and it is often worth tidying up the till buttons first.

Automatic or manual minimum stock

A minimum level per variety that triggers a warning prevents empty trays. Ordering automatically from the wholesaler goes a step further, but ingredient prices and seasons make that risky. Most shops choose a warning and order themselves, with upcoming reservations shown alongside so they can judge how much is really needed.

Which stock we record.

Batches of raw and roasted nuts, reservations for orders and mixing jobs and a daily count of the counter bins are set up at the start. Before launch we run an ordinary week, and a week in which a batch is rejected on receipt and a reservation has to move to another batch as a result. The link with the till and alerts at minimum stock can be added once the counts are right.

How do we track how much a batch loses in roasting?

When signing off a roasting batch, the roaster enters the weight after roasting. The system calculates the difference from the raw weight and stores it with the batch. Over time that builds a clear picture of the actual loss per variety.

Can we see which roasted nuts have been sitting too long?

Yes. Every roasted batch has a roasting date. You set per variety how long you want to use it within or when to mark it down, and the overview shows which batches are approaching that limit. You can then use them first in mixes.

What if the stock upstairs differs from what the system says?

You enter a count. The system shows the difference and asks for a reason, such as breakage, tasting or a mistake at receipt. If the same difference keeps appearing for one variety, it stands out in the overview so you can look into it.

Do we need a label for every tray behind the counter?

For batch tracking a simple label with variety and roasting date helps. It does not have to be a barcode; a handwritten label with a short number works too. For cheap varieties with high turnover you can choose to count per variety only.
