Food and specialist retail: Customer portal for nut retailers
A customer portal for nut retailers where business customers find and confirm their mix selections, sample bags, address lists and delivery information in one place.
What customers of nut retailers want to see.
Business customers of nut retailers, such as hotels, offices or delicatessens, reorder regularly and want to check their own arrangements. Which mix did we have last time, with or without peanuts? Has the sample been approved? When is the delivery and to which address? Right now those answers are scattered across emails, phone calls and a folder in the shop. With a corporate gift going to hundreds of addresses it gets worse: the customer sends a new address list and nobody is quite sure which version is the right one. A portal gives the shop and its customers one place for choices and delivery details.

From invitation to approval.
Set up access per customer
Each business customer gets their own area containing only their orders, mixes and documents. Several people within a company can have access, such as the buyer and the office manager. The shop decides who gets in and can withdraw access when someone leaves the customer's organisation.
Show mixes, samples and deliveries
The portal lists the agreed mixes with their composition, any sample bags still awaiting approval and the planned deliveries with date and address. The customer sees what is ready and what has already been delivered. When the shop changes a recipe, the customer sees that change reflected in the portal too.
Keep responses with the order
If the customer approves a sample or wants different proportions, they respond on that specific mix. A new address list is uploaded against the order it belongs to, with a date and name. The shop sees the response in the same overview and no longer has to dig through the mailbox.
Less email, the same records.
The portal reads orders and mixes from the system where the shop manages quotes and job cards. Invoices stay in the accounting package and are only shown as documents. The customer owns their address lists and contact people; the shop owns recipes and delivery planning. Customers who prefer not to use a portal can simply keep emailing, and staff then add their response to the overview themselves.
View only or order directly
A portal for looking things up is simple and already prevents plenty of questions. Reordering directly is handy for regular customers who want the same mix every month. That does require prices and availability in the portal to be right, otherwise it creates promises the shop cannot keep.
Physical samples or photos only
For a new mix a customer usually wants to taste it. A physical sample bag costs time and postage, while a photo with the composition is faster. For a small change to a familiar mix a photo may be enough; for a new customer or a new recipe, send a real sample.
Address list as a file or entered online
Customers often supply addresses as a spreadsheet. That is quick for them, but the columns differ from one customer to the next. An entry screen in the portal enforces a fixed layout but costs the customer more time. A fixed template to download is often a good middle ground.
What customers find in the portal.
Per business customer the client portal shows the agreed mixes, samples with an approval button, planned deliveries and a place to upload address lists. An ordinary recurring delivery to an office and a corporate gift for which the customer supplies a changed address list twice are replayed together. Reordering from the portal, showing invoices and rights per contact person can be switched on when customers ask for them.

Explore pricing and optionsCan customers adjust their own mix in the portal?
They can propose a change, such as fewer peanuts or a different nut. The shop reviews it and updates the recipe. That way the shop stays responsible for what gets mixed, while the customer has the right place to put their request.
What does a customer see if a delivery is delayed?
The planned date changes and the customer sees a short reason, such as an ingredient arriving later. They do not have to phone. Where it matters, the contact person also receives a message, and the original date stays visible so it is clear what changed.
How do we avoid confusion about which address list applies?
Every uploaded list gets a date and the name of whoever added it. The latest list is active and earlier ones remain visible as previous versions. The shop confirms which list will be used before anything is packed.
Should consumer customers use the portal as well?
Usually not. Consumers buy at the counter or through the online shop and gain little from their own area. The portal is intended for customers with recurring orders or large gift projects, although a private customer with a big one-off project can be given temporary access.
