Events and rental: Operations dashboard for marquee rental companies
An operations dashboard for marquee rental companies that shows which tent sets come back damaged, where build hours depart from the quote and on which sites or crews that happens.
Which figures marquee rental companies really need.
At the end of the season, marquee rental companies sense that a lot of canvas went for repair and that some builds took much longer than expected. Where that came from is hard to pin down. Was it one tent type, sites on hard ground, a crew with many new faces, or clients who handed the tent back late and still full? The data is spread across return lists, job cards, the quotes folder and the repair records. Without shared definitions, one person counts a small tear as damage and another does not, and the figure means little.

From scattered figures to one overview.
Agree the definitions
First we fix what counts as damage, as loss and as a deviation in build hours. Is dirty canvas damage or just cleaning? Does a missing peg count? Those agreements live in the dashboard itself, so everyone knows what a figure means and results stay comparable from one season to the next.
Connect returns, job cards and quotes
The dashboard takes return records from inventory, actual hours from job cards and estimated hours from quotes, linked per job. A damaged roof sheet then also shows which site it stood on, which crew took it down and whether it was packed wet.
Trace deviations to their source
If a tent type stands out for damage, you click through to the jobs behind it and the photos taken on return. If builds on paving consistently overrun, you see which quotes were involved. The dashboard passes no judgement; it shows where it is worth looking more closely.
Figures from your own work.
Marquee rental companies usually have the data already: return lists in the warehouse, crew job cards, quotes and a repair log or invoices from a canvas repairer. The dashboard connects those sources without replacing them. Each source stays with whoever keeps it: the warehouse owns returns, crew leaders own job cards, the office owns quotes. The dashboard only reads, and shows for every figure which source it comes from.
Seasonal review or continuous view
A review after the season helps with decisions about replacement and rates. A continuous view helps you correct course during the season, for example when one crew consistently causes more damage. The dashboard does both, but it helps to agree who watches it continuously and what happens when something stands out.
Customer damage or our own
Not all damage is caused by the customer. Canvas can tear during a windy strike or get damaged while loading. The dashboard distinguishes damage reported at handover, damage found on return and damage in the warehouse, so conversations with customers and crews become fairer and better informed.
Start broad or with one question
A dashboard with everything feels complete but is rarely read. Starting with the question that costs the most money, such as canvas damage or overrunning builds, produces something useful sooner. Other topics follow once the first question is answered well and the data proves reliable.

From the start the dashboard shows damage per tent type and per returned set, and the gap between estimated and actual build hours, with click through to the jobs. Whether the figures hold up, we check together against an ordinary month and a month in which one tent type came back damaged unusually often. Views per crew and per type of site, repair costs per part and season comparisons are switched on once there is enough history.

Explore pricing and optionsDo we have enough data to start?
Usually yes, as long as returns and job cards are recorded, even on paper. We first check which data is reliable and start with that. If something is missing, such as actual hours per build, the dashboard shows the gap rather than estimating it.
Can the dashboard show which crew causes the most damage?
It can show which crew more often has damage found on its jobs, but that is not the same as blame. A crew that builds all the large halls will naturally appear more. The dashboard also shows the type of work per crew, so the comparison is fair.
Who looks after the agreed definitions?
You do. The definitions sit in the dashboard and can be changed by someone designated for it, usually the operations manager or warehouse lead. A change gets a date, so it stays visible from when figures were counted differently.
Can the dashboard help us set our rates?
Indirectly. It shows which tent types or setups consistently cost more hours or damage than estimated. Whether you adjust the price, structure the quote differently or assess sites more carefully in advance remains your own decision.
