Events and rental: Inventory software for marquee rental companies
Inventory software for marquee rental companies that tracks, per tent type, which frames, canvas, floor panels and ballast blocks are in stock, booked, under repair or drying.
Where stock drifts for marquee rental companies.
A marquee is made up of dozens of parts: frames, beams, roof canvas, gable panels, floor panels, pegs and ballast blocks. Marquee rental companies hire them out as a complete tent, but stock sits in the warehouse part by part. The rental system often only knows that a tent of a certain size is available, not that two roof sheets are being repaired or that most of the ballast is still standing on another site. Then it only becomes clear at loading that a set is incomplete. Mixed sets, where parts from different tents got jumbled during a strike, make it even harder to see what can really go out.

Register parts per set
Each tent is described as a set of parts with quantities: frames, roof sheets, gables and floor panels. Parts shared between tent types, such as ballast blocks and pegs, are held as general stock. Where it helps, canvas and large parts get their own label so they can be followed individually.
Book at part level
A booking for a tent reserves the required parts for the hire period, including build, strike and drying time. If the tent is ballasted rather than pegged, the system books the blocks. Sales can then see for a new enquiry whether there is enough ballast for every hard ground setup standing at the same time.
Update returns and repairs
When equipment comes back, the warehouse counts what returned and records per part whether it is fine, wet, damaged or missing. A damaged roof sheet goes to repair and is unavailable until it is released. Missing parts stay linked to the job until they come back or are written off.
Alongside your purchasing and suppliers.
Marquee rental companies usually have a rental system listing tents as items, plus warehouse lists for parts and repairs. The inventory software adds the make up of each set and the status of individual parts. The rental system can stay in charge of hire to the customer, while inventory reflects what is physically in the warehouse. Labels and scanners can be used for canvas and large parts, but they are not a precondition for getting started.
Track whole tents or parts
Tracking per tent is simple but misses that a tent is incomplete when one roof sheet is torn. Tracking per part is precise but takes time on every return. Many companies follow critical items such as canvas and floor panels individually and only count pegs and fixings by quantity.
Scan labels or count by hand
Labels on canvas and frames speed up returns and show which sheet went out on which job. They do need to survive weather and rough handling. Counting by hand from a list works perfectly well for a small warehouse. You can start by counting and add labels for the parts that cause the most questions.
Own stock or hire from others
In peak season marquee companies sometimes hire parts or whole tents from other firms. Those need to appear as temporary stock with a return date to the owner. That way a hired tent does not slip into your own hire cycle by accident and goes back on time.

Your main tent types are in stock as sets from the start, with parts including ballast booked per job and returns processed with a status per part. Together we walk through an ordinary return after a dry weekend, and a return where a roof sheet is torn and ballast blocks were left behind on another site. Labels for canvas, hired in stock and a repair overview per tent type can be switched on later.

Explore pricing and optionsCan the system untangle mixed sets after a strike?
It can only see what gets recorded. If canvas and large parts are scanned or noted on return, it is clear which set is complete. For loose parts without labels the warehouse counts by type, and the system suggests which sets can be made complete again from what is there.
How do we keep track of drying time for wet canvas?
On return the warehouse notes whether a sheet came in wet. It then gets the status drying and cannot be booked until someone reports it dry and checked. Sales will not see a sheet as available while it is still hanging in the hall.
Do we have to count every peg and small fitting?
Not piece by piece on every return. Pegs, ratchet straps and small fixings can be held as bulk stock with a periodic count. Only when shortages become structural does counting them per job make sense. The system shows where the largest differences occur.
Can the system warn us when ballast blocks run short?
Yes. Because ballast is booked per job, the system knows how many blocks are out on any given day. If a new enquiry on hard ground comes in while too few are free, the salesperson sees that before sending a proposal.
