Construction and installation: Inventory software for insulation contractors
Inventory software for insulation contractors that tracks insulation batches, fixings and accessories per warehouse and vehicle, with reservations per home and usage after each job.
Where stock drifts for insulation contractors.
Insulation contractors handle large volumes of material: bags of blowing fibre or beads, boards, rolls of membrane, fixings, vents and sealing material for drill holes. Part sits in the warehouse and part on the vehicles. After a few working days, nobody is sure what is on which vehicle. A crew leaves with too few bags and has to go back, or drives around for days with material it does not need. Batches carry a production date and sometimes a batch number needed later if a question arises about the material, but which batch went into which home is rarely recorded. And usage per square metre is never compared with the quote calculation.

Record batches and locations
Each batch of material gets a record with type, batch number, quantity and location: warehouse or which vehicle. Fixings and accessories are tracked by type. At any moment you can see what is in the warehouse and what is on the vehicles.
Reserve per home and day
Based on the quote and day schedule, material is reserved per home. The crew leader sees when loading how much to take for the day. If the warehouse is short, the scheduler sees it well in advance and an order can be placed.
Usage and batch per home
After the job the crew records how much was used and from which batch. Leftovers stay on the vehicle or go back to the warehouse. Stock stays accurate, you can trace which batch went into each home and usage can be compared with the calculation.
Alongside your purchasing and suppliers.
Often the warehouse keeps a list, and orders go through a wholesaler or directly to the manufacturer. The supplier's product names and item numbers stay in charge, and batch numbers come from the packaging. The warehouse owns stock levels, the crew leader owns what is on his vehicle, the scheduler owns reservations. Purchase invoices stay in the accounting package. Manufacturers' product sheets and installation instructions stay with them, linked from the inventory.
Track batch numbers or not
Tracking batch numbers costs the crew an extra step. But when a question arises about a material, or a manufacturer reports a problem with a batch, it is the only way to know which homes are affected. For most insulation contractors that outweighs the extra effort.
Fixed vehicle stock or load per day
A fixed stock on each vehicle makes loading quick but ties up material. Loading per day from the reservation is more precise. A small fixed stock for surprises, topped up daily with what the schedule needs, combines both. The crew leader sees when loading what is already on board and what to add.
Compare usage with the calculation
If usage is consistently higher than the quote calculation, something is off: the area estimate, the density when blowing or loss during the work. Comparing per home shows where the difference arises and helps make the quote more accurate. Over a season it also shows whether one crew or one product needs a closer look.

Which stock we record.
Batches and locations, reservation per home and day and usage with batch number per home are set up before the warehouse starts using it. A week of individual private homes comes first as practice, followed by a day on which a crew finds halfway through that there are too few bags on the vehicle. Minimum stock alerts, a comparison of usage against the calculation and reading in batches from manufacturers with their own registration can be switched on later.

Explore pricing and optionsDoes the crew have to record usage after every home?
A short entry per home is enough: how many bags or boards, from which batch and what is left. It takes a few minutes and keeps inventory and invoicing in line with what was actually installed.
Can we see which batch went into which home?
Yes, when recording usage the crew picks the batch. Later you can look up per home which batch was used, and per batch which homes. That helps with questions from a manufacturer or owner. Nobody has to guess.
How do we deal with damaged material?
Damaged material is written off with a reason, such as a torn bag or wet boards. Stock stays accurate and you can see how often damage occurs, for example in storage on the vehicle or on delivery.
Does inventory include vents and sealing material?
Yes, accessories such as vents, drill hole sealant and fixings are tracked just like insulation material. Those small parts are often what is missing on the day, even though they finish the job. A shortage of vents now shows up when reserving, not in the crawl space.
What often connects to this.
- Digital job cards for insulation contractorsDigital job cards for insulation contractors with the survey report and work boundaries, so the crew knows where the work starts and stops and records deviations on site.
- Website for insulation contractorsA website for insulation contractors that explains cavity wall, floor, crawl space and roof insulation per type of home, including the access and preparation needed before a survey makes sense.
- Enquiry form for insulation contractorsAn enquiry form for insulation contractors that asks about construction, area and access to the crawl space, cavity or loft, so the office knows whether a survey can go ahead.
