Design and creative production: Customer portal for illustration studios
A customer portal for illustration studios where clients review sketches and colour proposals per image, leave comments and give approval, without versions scattering across email attachments.
What customers of illustration studios want to see.
Clients of illustration studios rarely consist of one person. A marketing manager reviews the sketches, a brand lead wants to see the colours and a director gives final sign-off. When sketches go out by email, versions get mixed up: someone replies to an old attachment, someone else sends feedback only to a colleague and the studio receives contradictory comments. Colour proposals are viewed on an office monitor that shows something different from what was intended. And by the end, nobody remembers who approved which image and when. For the illustrator that means extra rounds and uncertainty about which feedback counts.

Set access per job
For each job the studio decides who on the client side can view and who can approve. A marketing coordinator can leave comments; the person in charge signs off. There is no confusion about whose feedback is decisive. Outside parties such as a printer or agency only see the final files relevant to them.
Show the current version per image
The portal shows only the latest sketch or colour proposal for review on each image, with earlier versions collapsed underneath. Colour proposals carry a short note that screens vary and which reference is binding. The client always knows what they are responding to and never has to dig through old emails.
Bundle responses into one round
Comments from several people are collected per image. Only when the person in charge closes the round does the feedback go to the illustrator as a single set. Contradictions surface before they reach the maker. A round then genuinely counts as one round, which helps with agreements on included revisions.
Less email, the same records.
Clients often use their own review tools or simply want a PDF. The portal does not force a change of habit: a client who keeps replying by email can do so, and the studio then adds that feedback to the portal. Source files stay in the studio's storage; the portal shows previews and delivers final exports. The client owns their feedback and approvals, the studio owns the images and versions. At delivery the portal holds a complete set of files with the approval recorded against each image.
Every reviewer separately or one coordinator
Letting everyone respond separately gives complete input but also noise and contradiction. Having one person on the client side consolidate brings calm, but that person sometimes filters out important points. A common solution lets everyone comment and has the person in charge close the round with their own summary attached.
Watermarked previews or clean ones
A watermark on sketches and colour proposals prevents images being used before the job is finished or paid for. It does get in the way of judging composition and colour. Some studios put a subtle watermark on sketches and drop it for the final colour proposal, when the job is nearly complete.
Release final files immediately or after payment
Delivering straight after approval keeps the pace up and suits regular clients. Delivering after payment gives security with new clients or large series. The portal can set per job when downloads become available, so the studio does not have to police or explain that choice by hand every time.

Per job, clients get access to sketches and colour proposals per image, with comments bundled per round and approval from the person with final responsibility. We choose the first clients together so the threshold stays low, and we play out a client with one contact person and a team where two people give conflicting feedback. Controlled delivery of final files through the portal is switched on after that.

Explore pricing and optionsDoes everyone at the client need to create an account?
Not necessarily. You can send each person an invitation with a personal link, so feedback stays traceable without a complicated sign-up. Whoever is allowed to approve does get their own login, because that approval is exactly what needs to be retrievable later.
How do we stop comments lingering on an old sketch?
As soon as a new version is uploaded, open comments on the previous one are marked as handled or carried over. Clients respond to the newest version by default. Older versions stay visible but are clearly marked as superseded.
Can the printer or ad agency use the portal too?
Yes, with limited access. A printer might see only the final print files with colour profile and dimensions. An agency can follow the sketches without being able to approve. Everyone's role within the job stays clear.
What if the client prefers to reply by email?
Then the studio adds that feedback to the portal against the right image and version. The overview stays complete even if not everyone takes part. After a few rounds, clients often notice for themselves that the portal saves them time.
