Where invoices stall for illustration studios.

In illustration studios what needs invoicing often differs from what the quote said. A series of eight images became six, the client asked for two extra revision rounds and an additional social media format was added. Those changes are recorded in emails and on image cards, but not with the invoice. That is then drawn up from the original quote, after which the client asks why it lists images that were never delivered, or the studio forgets the extra work altogether. Licences that only start at publication, or that are billed again on renewal, also slip out of view easily.

From finished work to paid invoice.

Collect delivered images

When a job or stage is completed, the software shows which images were actually delivered, with their complexity and agreed usage. Extra rounds marked as additional work on the image cards come along with date and reason. The invoice thus starts from what was really handed over.

Show deviations from the quote

The invoice is set against the accepted quote. Dropped images, added formats and extra rounds are shown separately, so the project lead can review them. They can still waive an extra round as a goodwill gesture, but that becomes a deliberate, recorded choice rather than something forgotten.

Send invoice and licences

After review, the invoice goes to the client with a payment link, lines per image or per series, the licence listed separately and a reference to the job. Reminders go out automatically. Licences with a later start date or a renewal are ready as future invoices so they stay in sight.

Invoicing from the same software.

Illustration studios often calculate in a spreadsheet and invoice from a separate package. Here quote, image cards and invoice live in the same software, so the basis comes from the job instead of from memory. The studio owns the job and the agreements, and sees per invoice whether it has been paid. If you work with an agent who receives commission, that share can be prepared as a separate line. The bookkeeper looks along or receives an export with a tax overview.

Invoice per stage or on delivery

For longer series or book projects, invoicing per stage is common: part on sketch approval, the rest on delivery. It evens out the studio's income but needs clear agreement on what closes a stage. For short jobs a single invoice on delivery is simpler and easier for the client to follow.

Licence on the same line or separate

Drawing and licence on one line keeps the invoice short. Two separate lines show what the client is paying for and help with later renewals, since only the licence gets invoiced again. For clients who book usage rights separately in their own accounts, splitting them is often more convenient too.

Always charge extra rounds or decide per job

A fixed rule gives clarity but can strain a good relationship when a client asked for just one small tweak. Deciding per job gives room, provided it is visible what is being left out. The software can list every extra round and let the project lead choose, with a short reason for each waived line.

What we set up for your invoicing.

Your complexity levels, licence types and the rule for extra rounds from the quotes are in the software from the start, so delivered images, licences and marked extra work per job land on the invoice. The bookkeeper reviews the line structure from the very first job. Together we invoice a job that went exactly as quoted and a series where images were dropped and formats were added. Stage invoicing and scheduled invoices for licence renewals are switched on when needed.

Can our bookkeeper keep working the way they are used to?

Largely, yes. Invoices, payment status and the tax overview are in the software, and the bookkeeper can look along or receive a regular export to read into their own records. Only drawing up the invoice moves to where the job already lives.

How do we see which licences are due for renewal soon?

Every licence with an end date gets a future invoice or reminder set up. The overview shows which licences are about to expire, so you can offer the client a renewal in good time. If the renewal is declined, the image is marked as available again in the archive.

Can we ask new clients for a deposit?

Yes. You can set a deposit per job, for example on acceptance of the quote. It is offset against the final invoice, and the invoice shows how much has already been paid. Nobody has to work out by hand what is still outstanding.

What if a client disputes an invoice line?

Every line links to the job and, where relevant, to the image card with the approval or extra round. You can show when a round was requested and by whom. That turns a disputed line into a factual conversation rather than an argument based on memory.
