Design and creative production: AI enquiry assistant for illustration studios
An AI enquiry assistant for illustration studios that answers questions about resolution, formats, colour profiles and supply using approved explanations, and brings in a person when in doubt or when pricing comes up.
Which questions illustration studios keep getting.
Illustration studios get the same technical questions over and over. Is this file big enough for a poster? Why does the colour look different on my screen than in the proof? Can I enlarge the illustration myself for a trade show stand? What format does the printer need? These questions come after delivery, often by email or phone, and interrupt the illustrator mid-drawing. The answer is usually a standard explanation about resolution and colour profiles, but sometimes there is a real change request behind it, such as a new use that falls outside the licence. Someone needs to spot that difference before a quick but wrong answer goes out.

Gather approved guidance
The studio puts together a set of answers on resolution, colour profiles, file formats, supplying files to printers and what each export format includes. For each job, the information the client has already received is added. The assistant uses only those sources and does not invent its own technical advice or prices.
Recognise the question and the use
When a question comes in, the assistant looks at what is being asked and whether there is a use behind it that may fall outside the agreement. "How do I enlarge this for a stand" is technical, but may also be a new application. In that case the assistant gives the technical explanation and flags that the licence might need discussing.
Answer or pass it on
If the answer is in the approved guidance, the assistant gives it with a reference to the source. If it concerns pricing, extended rights, a new version or a complaint, the assistant says a team member will be in touch and forwards the question with context. The illustrator is only interrupted when it is really needed.
On your own information, with a person behind it.
Questions currently arrive by email, through the contact form and sometimes via the customer portal. The assistant can sit on the website and in the portal, so clients find answers next to their own files. The studio owns the approved guidance and updates it when working practices change. Forwarded questions land in the inbox or task list the studio already uses, together with the question, the assistant's reply and the job it relates to. Conversations are kept so the studio can see which questions keep coming back.
General guidance only or job details too
An assistant with general guidance only is simple to set up and can sit on the public website. With access to job details it can be more specific, such as which colour profile belongs to this delivery. That does require the client to be logged in and the assistant to show only data from their own job.
Answer directly or check first
For standard questions about resolution or formats, the assistant can reply straight from approved text. For borderline cases it can draft an answer that a team member reviews first. That takes a little longer but prevents a question about enlarging being answered without anyone noticing it involves a new use.
Dutch and English or a single language
If the studio works for international clients, questions will also arrive in English. The assistant can answer in both, provided the approved guidance exists in both. If there is only a Dutch source, it is wiser to keep the assistant to Dutch and pass English questions straight on to a person.

Approved texts on resolution, formats, colour profiles and delivery are the assistant's source, and questions on prices, rights and new versions go to a colleague with context. Before launch we put a client to it who asks why the colours look different, and someone who wants to enlarge an image for a new use. The assistant in the client portal and answers per job are switched on later.

Explore pricing and optionsCan the assistant create a new export or larger version itself?
No. The assistant explains and forwards requests. Producing a new export or adjusted version stays with the illustrator, because it involves creative and sometimes rights decisions. The assistant does record the request in full, so the illustrator does not have to chase what was meant.
What does the assistant do when it does not know the answer?
It says so plainly and passes the question to a team member. It does not try to piece together an answer from general knowledge. The client is told someone will be in touch, and the studio sees the question in its own overview.
How do we keep the guidance up to date?
The approved texts sit in an admin area the studio edits itself. If a practice changes, for example a new standard export format, you update the text and the assistant uses the new version from then on. The log of questions asked helps show where the guidance falls short.
Can the assistant see the source files for a job?
No. At most it can see delivery details, such as which exports were handed over and in which colour profile, if the studio allows that. The source files themselves stay out of reach. The assistant can explain without having access to the work itself.
