Transport and delivery: AI enquiry assistant for express freight operators
An AI enquiry assistant for express freight operators that answers questions about feasible delivery times with approved information and passes a request to the planner as soon as a commitment is needed.
Which questions express freight operators keep getting.
Many questions at an express freight operator are not about a specific trip but about what is possible: can you still get to Antwerp tonight, do you run at weekends, what time does something need to be ready for delivery tomorrow morning? The planner answers them in between the real work, often with the same explanation. At the same time, it is risky if someone else, or a system, promises a delivery time before planning has looked at available drivers and the route. An assistant that promises too much creates angry customers; one that knows nothing just creates more phone calls.

Gather approved explanations
Planning and management decide which information the assistant may use: service area, planning desk hours, types of express trip, what affects a delivery time and which loads you do not carry. Specific prices and commitments are deliberately left out. If the rota or service area changes, that source is updated rather than the assistant itself.
General question or specific trip
The assistant recognises whether someone is asking how things work in general or wants a specific trip assessed. For a general question it gives the explanation from the sources, such as that delivery tomorrow morning depends on when the shipment is ready. For a specific trip it asks for the details the planner needs.
Hand over to the planner
Every request for a commitment, a price or an exception goes to the planner, along with the details the visitor already gave. The assistant says clearly that a person will assess feasibility and when the visitor can expect an answer. When it is genuinely urgent, it points straight to the planning desk phone number.
On your own information, with a person behind it.
The assistant uses existing website copy, the frequently asked questions and internal arrangements planning already works with, once someone has approved them. Handed-over questions arrive in the mailbox or enquiry system planning already uses, as an ordinary request. Planning owns everything said about feasibility and price; the assistant only repeats what has been released and logs each conversation so it can be reviewed later.
On the site or only in the portal
On the public website an assistant mainly answers exploratory questions from new visitors. In the customer portal it can also answer known clients, for example about the status of a running trip, because that data is already visible there. Many operators start on the site, where most repeat questions come from.
Broad or narrow sources
The more information the assistant may use, the more it can answer, but also the greater the chance of an answer that does not hold in an unusual situation. With express work, most operators choose narrow sources and hand over more often. One question too many for the planner does less harm than one wrong promise.
Always on or only after hours
An assistant active only at night and at weekends takes pressure off the night shift. During the day it can catch the same general questions, while specific trips go straight to the planner. What matters is that the assistant knows whether a planner is reachable at that moment, and tells the visitor so honestly.

The assistant answers general questions about service area, express services and what determines delivery time, only from explanations you have approved; a concrete trip request goes through to the planner. We play out two conversations together beforehand: someone asking whether a delivery tomorrow is possible, and a visitor who keeps pressing for a promise for tonight. Questions about running trips through the client portal and a list of questions the assistant could not answer can be switched on later.

Explore pricing and optionsCan the assistant commit to a delivery time itself?
No. The assistant explains what determines a delivery time and collects the trip details, but only a planner can judge whether a driver is available and the deadline is achievable. It says so plainly in its answer, so the visitor does not think the trip is already arranged.
What happens when the assistant does not know the answer?
It says so and passes the question to planning, along with what the visitor has already said. It does not guess or fill gaps from general knowledge. Questions that are handed over often show which explanation is still missing from the approved sources.
Can we review what the assistant has said?
Yes, each conversation is stored with the question, the answer and the source the answer was based on. Planning can check whether the explanation is right and update sources if something comes across wrongly. You agree in advance how long conversations are kept and who may view them.
Does the assistant speak Dutch or German too?
It can answer in several languages, but only from the same approved sources. For cross-border express trips that is useful, because a recipient or client abroad can ask in their own language. Handed-over questions reach the planner with a translation attached.
