Transport and delivery: AI enquiry assistant for cycle logistics operators

An AI enquiry assistant for cycle logistics operators that answers questions about urban coverage, load size and returns from approved information, and passes doubtful cases to a person.

AI enquiry assistant for cycle logistics operators. An AI assistant that answers from approved sources or hands over to a colleague. Example with demonstration data.

Which questions cycle logistics operators keep getting.

Cycle logistics operators get the same questions over and over: do you deliver in this neighbourhood, will a box this size fit, do you collect empty crates, what happens if nobody is home? They come through the site, email and phone, often while the planner is busy with morning rounds. The answer depends on zones, agreements and exceptions that are not always written down well. A general chatbot would start guessing here and promise an address outside the area. What is needed is an assistant that only answers from what you have recorded and says plainly when a person needs to look.

Choose approved sources

We gather the information the assistant may draw on: zone layout, load size guidance, returns policy, hub opening hours and frequently asked questions. You approve every source. Internal arrangements with particular shippers or rates that vary per client stay out of the sources unless you deliberately decide otherwise.

Recognise and check the question

When a visitor asks something, the assistant first works out what it concerns: coverage, size, returns or something else. For a question about an address, the postcode is checked against the zone layout. If the question falls outside what the sources cover, the assistant does not try to invent an answer.

Answer or hand over

If the sources give a clear answer, the assistant replies briefly and says where the information comes from. For doubt, a complaint or a question about a live shipment, it asks for contact details and passes the conversation to a member of staff. They see the full question and do not have to start over.

On your own information, with a person behind it.

The assistant's sources usually already exist in some form: website copy, a frequently asked questions document, the zone map from planning. We use those and keep them current from the same place. Handed-over conversations land in the inbox or customer system your service team already uses. You own the content; the assistant only reads what has been approved and stores conversations for review.

General questions or status lookups

An assistant that only handles general questions is simple and safe. Questions about where a particular shipment is require access to status data and checks on who is asking. Many operators start with general questions and point to the portal for status. Expanding only makes sense once that works well.

Answer directly or confirm first

For simple questions, like hub opening hours, answering directly is fine. Where an answer implies a commitment, such as whether an address is covered for a recurring contract, it is better for the assistant to inform and a person to confirm. That avoids promises planning cannot keep.

Around the clock or office hours

An assistant that also answers in the evening catches shopkeepers after closing time. Handovers can then only be picked up the next morning, and the assistant should say so plainly. We configure what it promises out of hours, so visitors know when a person will respond.

What the AI assistant may answer.

From approved sources on city coverage, load volume and returns, the assistant answers customer questions; everything else goes to customer service. We draw up those sources with you. A set of real questions from the inbox goes through it beforehand, including an address just outside the zone and a complaint about a missed delivery. After a while we look together at which questions are often handed over and which source is still missing.

Can the assistant promise that we cover an address?

It can say whether a postcode falls within the recorded zone. A commitment for a recurring contract it leaves to staff. For addresses on the boundary or outside the area, it hands over the conversation with the question attached, so you make the call.

What if someone asks where their parcel is?

The assistant then points to the portal or status page, or asks for contact details so a person can check. It does not look up shipments itself. That prevents information from reaching the wrong person.

How do we know what the assistant said?

All conversations are stored and can be read back. You can filter on handed-over conversations or questions the assistant could not answer. That shows which information is missing, so you can add sources in a targeted way rather than guessing.

Can the assistant reply in Dutch as well?

Yes, if approved sources exist in Dutch or you are comfortable with translating the English ones. That helps with local shopkeepers and residents who prefer their own language. Handover to a member of staff works the same way in both languages.
