Food and specialist retail: Customer portal for chocolatiers
A customer portal for chocolatiers where corporate customers review and approve tasting selections, sleeve designs and delivery arrangements, so every corporate gift is finalised in one place.
What customers of chocolatiers want to see.
A corporate order with chocolatiers involves many small decisions. The customer has to choose from a tasting selection, approve the sleeve design, confirm the final quantity and supply a delivery address, sometimes with a list of staff home addresses. All of that runs through email with attachments, and the office manager forwards the sleeve design to marketing, who send back a different version. In the end the chocolatier does not know which version was approved or which address was the last one supplied. After delivery the customer asks for the invoice and the list of boxes sent, which have to be looked up all over again.

From invitation to approval.
Access per contact
The customer gets a portal per job, with access for the contact and perhaps a colleague from marketing. They only see their own job: proposals, tasting selection, sleeve design and delivery arrangements. Who may approve what is agreed at the start and recorded in the portal.
Show design and selection
The portal shows the tasting selection with the fillings the customer tried, and the sleeve design versions side by side. The customer picks a selection and approves one design version. After that they see the status: in production, packed or dispatched, with the agreed delivery date.
Link comments to the job
Comments on the design, a changed quantity or a new address are posted against the relevant part. The chocolatier sees the change and confirms whether it is still possible. The history stays with the job and nobody has to search through old emails.
Less email, the same records.
Communication with corporate customers currently runs through email and phone. The portal reads the quote, the status from scheduling and job cards, and the design from the printer or your own designer. The customer owns their logo, addresses and choices; the chocolatier owns the layout, production and delivery date. Invoices keep coming from the accounting package and can be shown in the portal.
Portal for every business customer or only large ones
For an order of a few boxes a portal is overkill; an email confirmation will do. For jobs with printing, a tasting selection and several addresses it saves a lot of back and forth. A threshold based on what needs deciding, rather than on size, usually works best.
Address list upload or entry in the portal
A spreadsheet of individual addresses is quick to supply but often contains errors and duplicate names. Entering them in the portal allows checks but is more work for the customer. Uploading a list that the portal checks for missing fields is usually the best compromise.
One approver or several
In larger companies marketing and the office manager both want a say. Two approvers prevent a logo being printed in the wrong colour but slow things down. The portal can show who has the final word, so the chocolatier is not caught between two opinions.
What customers find in the portal.
Each corporate job gets its own access in the client portal, where the customer views and approves tasting selections and wrapper designs, follows the status and responds per item. We go through two situations with you: an ordinary job with one delivery address, and a job where the customer supplies a list of individual addresses and the design is revised twice. Showing invoices in the portal and letting customers repeat a previous order can be switched on once customers are used to it.

Explore pricing and optionsCan the customer repeat the same order next year?
Yes, if the job stays in the portal. The customer can use the previous selection and design as a starting point and only change quantities and date. Fillings no longer made are flagged so the chocolatier can suggest an alternative.
What if marketing and the office manager disagree about the design?
The portal shows both comments, but each job has one approver agreed at the start. Until that person approves, the design does not go to the printer. That prevents printing a version one of them did not want.
Does the customer see the storage instructions too?
Yes. The job shows the storage guidance for the chosen selection. The customer can pass it on to recipients or have it printed on the card. Everyone then knows the boxes should stay cool and dry until they are handed out.
Can we use the portal for private customers as well?
For weddings or large parties with a tasting selection and text on a card it can make sense. For ordinary retail orders a confirmation email is usually enough. You decide per type of job whether a portal comes with it.
