Outdoor spaces and grounds: Inventory software for cemetery grounds contractors
Inventory software for cemetery grounds contractors that tracks seasonal plants, compost, gravel and maintenance tools per site, so the crew has what it needs on planting day.
Where stock drifts for cemetery grounds contractors.
Cemetery grounds contractors put hundreds of plants on graves twice a year: pansies or begonias in spring, heather or chrysanthemums in autumn. How many are needed depends on which families have a package with planting, and that number often exists only on a list in the office. Plants arrive too early and wilt in the shed, or too late and are not there for All Souls' Day. Tools such as brush cutters, leaf blowers and cleaning products are spread across several sites, and nobody knows exactly which shed holds the second battery blower. Gravel and compost run out halfway through a round.

Reserve plants and materials per round
For each planting round the system counts the graves with arranged planting and works out how many plants of which kind are needed, plus compost. The planner sees what to order and when it must arrive to be planted in time without wilting.
Record tools per site
Every tool has a home, such as the shed at a particular cemetery or a crew's van. When it moves, that is noted. Maintenance moments, such as sharpening blades or replacing batteries, are recorded against the tool. Nobody has to ring round the crews.
Update usage and leftovers
After a planting round the crew reports how many plants went in, what is left over and whether any plants failed. Gravel and cleaning products used are booked out too. For the next round it is known what is still there and what needs adding.
Alongside your purchasing and suppliers.
Cemetery grounds contractors often order plants from a regular nursery based on a count of packages in the office. Tools are tracked by crew leaders, sometimes on a list. We link the count of planting packages to the order and decide who keeps tools and materials up to date per site. The nursery remains responsible for delivery and quality; the office for the right numbers; the crew leader for what is in the shed.
Plants in one delivery or per site
One large delivery to a central point is cheaper, but plants then have to be distributed across the sites. Delivery per site saves driving but needs more coordination with the nursery and a place where plants can stand. The choice depends on the number of sites and the distance between them.
Tools kept per site or carried
Keeping tools at each site saves loading and unloading, but needs more equipment and good sheds. Carrying everything in the van is more flexible but takes time, and something may be left at the wrong site. With a record per location you can combine both.
Spare plants or ordering exactly
Ordering exactly avoids waste but leaves no room for failures or a family that signs up at the last minute. A small reserve per round covers that. How big the reserve should be becomes clear after a few rounds from the recorded failures, so nobody has to guess.

At the start stock counts the plants needed per planting round, records tools per site and books out usage and failures afterwards. Together we go through a spring round across three cemeteries, and an autumn round in which the heather delivery arrives a week late with All Souls' Day approaching. Maintenance schedules for tools and orders to the nursery from the planting round can be switched on later.

Explore pricing and optionsCan we see how many plants each round needs?
Yes. The system counts the graves with arranged planting for that round, per type of plant where families have a choice. A reserve is added if you want one. The planner sees the total per site and can base the order on it.
How do we know where a particular tool is?
Every tool has a home, and moves are noted by whoever takes it. Looking for the second leaf blower, you see which shed or van it is in. If a move was not recorded, you can see who last logged anything against that tool.
What if plants fail after planting?
The crew reports failures on the next visit. Depending on the arrangement with the family, the plant is replaced. Failures per type and round are tracked, so for the next order you know how much reserve is sensible.
Can we track gravel and compost too?
Yes, per site or centrally. For a round in which grave beds are topped up, expected usage is calculated beforehand. Actual usage is booked out afterwards. It does not run out halfway through a section, which saves an extra trip.
