Outdoor spaces and grounds: Customer portal for cemetery grounds contractors
A customer portal for cemetery grounds contractors where managers see per section what has been done and families receive an update with a photo of their grave after each visit.
What customers of cemetery grounds contractors want to see.
A cemetery manager wants to know which sections were maintained this month, what damage has been reported and what is still outstanding. At cemetery grounds contractors that sits in emails, separate reports and the crew leader's memory. Families who live far away want to see whether their mother's grave looks cared for, especially around an anniversary. They call or email to ask whether anyone has been yet. The two groups need entirely different information, but both want reassurance without having to phone. The risk is that a manager sees too little and a family too much business detail.

Show work per section or grave
The manager sees per section when it was last maintained, what was done and which tasks are outstanding. The family sees the date of the last visit, the photo taken then and the next planned moment, such as the spring planting.
Questions and reports at the location
A manager can ask a question about a section or respond to a report, such as damage to a memorial. A family can ask about the grave, for example for an extra visit around an anniversary. The office answers and the arrangement is stored with the grave or section.
Less email, the same records.
Cemetery grounds contractors often report to managers with monthly overviews by email, and families receive photos by message where agreed. We decide which details from work sheets and scheduling appear in the portal automatically. The manager owns the burial register and the grounds; the portal only shows work done and reports. Families see nothing of the grounds contract or of other graves.
Portal for families or updates by email
Older relatives are not always comfortable logging in. An email with the photo after each visit is often easier for them. The portal can exist alongside for those who want more, such as a history of visits. You can choose per family what suits best.
Showing managers everything or a summary
A manager with one cemetery may want to see every detail. A council with several sites would rather have a summary per site with the exceptions. The portal can show both, with an overview at the top and section detail below, so nobody has to dig through lists.
Damage reports visible to families or not
A family wants to know if their memorial is damaged. But reporting damage is first a matter between you and the manager, who contacts the grave owner. You can agree that the manager sends that message, so the family is not approached twice in different ways.

In the client portal, managers get access per site and families per grave, with work shown per section or grave with date and photo, and questions at the location. Together we test it with a municipal manager wanting to see which sections are still outstanding after a stormy week, and with a family abroad wanting extra care around an anniversary. Email updates with a photo for families who prefer not to log in can be switched on whenever you like.

Explore pricing and optionsCan families see when their grave was tended?
Yes. After each visit the date and, where agreed, a photo appear in the portal. Families without an account can receive the same information by email. They do not need to call to ask whether anyone has been.
Does a family see anything about other graves?
No. A family only has access to the grave or graves for which they arranged care. Information about the grounds, other graves or the contract with the manager is not visible to them. Each family sees only its own grave.
What does a manager see after a storm or hard frost?
The manager sees per section which damage has been reported, with photo and location, and which sections have not yet been checked. That lets him set priorities and decide on closures or extra work. The decision is recorded against the section.
Can several relatives have access?
Yes, if the grave owner or the person who arranged care wishes. Each receives the same information about the grave. Arrangements for extra care or changes to the package preferably go through one contact person, so conflicting requests do not arise.
