Outdoor spaces and grounds: Invoicing software for cemetery grounds contractors
Invoicing software for cemetery grounds contractors that turns maintained sections and additional visits into invoices for managers and yearly bills for families with grave care.
Where invoices stall for cemetery grounds contractors.
Cemetery grounds contractors invoice in two very different ways. A manager receives a monthly or quarterly invoice for grounds maintenance, often with additional work such as storm damage or extra leaf clearing that has to be justified separately. Families pay a yearly amount for grave care, sometimes with an extra visit around an anniversary or a Christmas wreath. Both streams often run on manual lists. With managers, disputes arise when it is unclear which additional work was ordered. With families, things go wrong when a package is cancelled or handed to another relative and the bill still goes to the old address.

Collect work done
At the end of a period the work sheets show which sections were maintained and which additional work was done, with the order and date. For families the active packages are ready, with any extra visits or wreaths delivered in that period.
Compare ordered with delivered
For managers the office compares completed work with the contract and separate orders. Additional work without an order stands out. For families it checks that the package is still active and the billing details are right, for instance after a handover to another relative.
Send the bills
After checking, the invoices go out: per manager with an overview by section and the additional orders, per family with the package and extras, each with a payment link. Reminders go automatically. A manager sees the completion overview in the portal next to the invoice.
Invoicing from the same software.
Cemetery grounds contractors usually raise invoices in an accounting package, while family packages are billed yearly in advance from a list. Municipal clients sometimes require their own format or purchase order number. Here work sheets, packages and invoices sit in the same software, with purchase order numbers and section overviews on the invoice. The office tracks which packages are active, and payment status shows what is outstanding. Your bookkeeper can look along or receive an export.
Family packages in advance or in arrears
Billing a year of care in advance is common and secures payment. Billing in arrears sometimes feels better to families, because they pay for what was done. When billing in advance, make clear what happens if someone cancels halfway through the year. A short note with the first bill does that.
Extra work per order or bundled
Storm damage or extra leaf clearing can be invoiced per order, so the manager can tie it directly to a decision. Bundled on the periodic invoice is tidier, provided each line refers to an order. Councils sometimes prefer one or the other for their own administration, so check beforehand.
Indexing automatically or by conversation
Family packages and contracts can be indexed yearly. Applying it automatically is efficient but may feel unexpected to families. A short notice beforehand with the new amount keeps things calm. With managers, indexing is usually set out in the contract and simply follows the agreement, so it is no surprise.

Ready at the start: your contracts per manager with purchase order number and required format, the family packages with a price list for extras, the payment link and the reminder schedule. Existing packages are imported from your list. Together we create a quarterly invoice for a council including a stormy week with extra work, and the bill for a family package handed over mid-year to a child of the grave owner. Yearly indexing can be switched on whenever you want.

Explore pricing and optionsCan we show per section what was invoiced?
Yes. The invoice to a manager comes with an overview per section listing the work done and the dates. Additional work is shown separately with the order it rests on. The manager can check the invoice without calling.
What happens if a family cancels the package?
The office marks the package as ended from a given date. Depending on the arrangement, part of the prepaid amount is refunded or not. The package no longer counts in the next billing run, so no further bill goes out.
Can we include council purchase order numbers?
Yes. For each manager and contract you record the purchase order number and any format requirements. They appear on the invoice by themselves. An invoice is not sent back because a reference is missing, and the payment status shows when it has been paid.
How do we bill an extra visit around an anniversary?
The extra visit is recorded against the grave as a separate order, with the date and the price from the price list. Once carried out, it goes on the next bill or is invoiced separately, depending on what was agreed with the family.
