Events and rental: Scheduling software for balloon decorators
Scheduling software for balloon decorators that lines up setup times, venue access, travel and removal, so a busy Saturday with several parties stays achievable.
What makes scheduling hard for balloon decorators.
Balloon decorations are made as close to the event as possible, because helium sinks and latex changes quickly in the heat. That means many setups land on the same Saturday morning. One venue only opens its doors at ten, another wants you gone by noon because catering starts. Meanwhile the arches for a wedding elsewhere must be ready before the ceremony. If you plan that in a calendar of separate appointments, you do not see that driving between two venues eats into setup time. And the midnight takedown often is not in there at all, until someone is reminded of it on Saturday evening.

From job to confirmed appointment.
Record build time and access
For each job you record when the venue gives access, when the decoration must be ready and how long the build takes. An arch you make in the workshop beforehand and only place on site gets a different time from a ceiling installation you inflate on location. Removal gets its own slot tied to closing time.
Line up trips and people
The schedule shows per day which jobs are on, how many hands each setup needs and how much travel lies between venues. If two setups must happen at once, you see straight away whether you need an extra helper or whether one decoration can be made in the workshop first and only placed.
Confirm with the venue
Once the schedule is set, a confirmation goes to the client and, where needed, to the venue contact with arrival and departure times. If access times change, you see at once which other job that day is squeezed. You decide whether to start earlier, bring in another helper or ask the client for a later slot.
Alongside your calendar and your team.
Most balloon decorators plan in an ordinary phone calendar, with one appointment per party and loose notes. The scheduling software reads approved quotes and uses your calendar as the basis for your own availability and that of regular helpers. Access times and rules belong to the venue; you record them as you heard them. The schedule can sync to your normal calendar, so you do not need to look in two places.
Prebuild or inflate on site
Building arches and columns in the workshop saves time on site but needs a van they fit in and a short drive. Inflating on site gives more freedom of shape but uses more of the access window. The schedule should show per job which route you take, because it changes build time considerably and decides how many jobs fit.
Remove it yourself or let the client
Taking things down yourself guarantees frames and weights come back but costs evenings and nights. Letting the client dismantle and return materials later saves time but risks damage or missing bases. Many decorators decide per job type: collect large frames themselves, leave small centrepieces with the client.
Work alone or book helpers
On a quiet day you do everything yourself. On a busy Saturday with three setups you need help, and you have to ask in advance. The schedule shows which days carry more setups than you can handle alone, so you can ask a regular helper in good time rather than scrambling at the last moment.

Jobs get access times, build duration and a removal slot, with a day view including travel between venues and confirmations to client and venue. Before it goes live we walk through a quiet weekday together, and a Saturday with three parties close together on which one venue shifts its access time. A helper view and the day plan in your own calendar can be switched on afterwards.

Explore pricing and optionsCan helpers see when they are working?
Yes, through their own view showing only their setups and takedowns, with address, time and what needs making. They do not see client phone numbers or prices unless you choose to share contact details for the venue.
How do we plan takedowns in the middle of the night?
Removal is its own task with the time the party ends and the venue closes. You see those takedowns next to the next day's setups, so you never take down at midnight and set up again at seven without knowing it in advance.
What if a venue changes access at the last minute?
You update the access time and the schedule shows which other job that day is now tight. You can then decide to prebuild, bring in an extra pair of hands or ask the other client whether a slightly later time also works.
Can we flag outdoor jobs separately?
Yes. Outdoor jobs carry a marker, so you keep an eye on them in the days before. With strong wind or heat you sometimes need to agree a different spot or a shorter build time with the client. The schedule shows which jobs that applies to.
