Transport and delivery: Scheduling software for art transporters
Scheduling software for art transporters that coordinates the transport crew, the collection appointment and the availability of crates, vehicles and couriers.
What makes scheduling hard for art transporters.
Scheduling art transport means coordinating with many parties. A museum has fixed loading times and wants the registrar present. A gallery is only open for collections on Tuesdays. A lender's courier flies in and has to be at the vehicle at the right moment. The bespoke crate has to be finished and acclimatised before the work is packed. When those arrangements sit in emails and calendars belonging to different people, the crew turns up at a closed loading bay or finds the crate not yet ready. With an exhibition changeover involving dozens of works, the overview is quickly lost.

Record resources per shipment

From job to confirmed appointment.
Record resources per shipment
For each shipment the planner records how many art handlers are needed, which vehicle with climate control or air suspension, which crates must be ready and whether a courier travels along. Loading times and contacts for both locations are recorded too. Every condition sits with the shipment rather than in someone's inbox.
Align the appointment with both venues
For each day the planner sees which crews, vehicles and crates are available and what loading times the venues have. A collection is only proposed when crew, vehicle and crate are ready at that moment and the venue is open. Acclimatisation time for a crate is taken into account.
Confirm to every party
The confirmation goes to the client, the receiving venue and any courier, with time, vehicle, crew and what is expected of them. If a museum changes its loading time, the planner immediately sees which parts shift and who needs to be informed again.
Alongside your calendar and your team.
Art transporters often schedule in a shared calendar or on a planning board, with arrangements with museums and galleries in email. The schedule connects to the quote, which supplies the resources needed, and to the crate workshop, which reports when crates are ready. Arrangements with venues stay with the shipment. The client owns the arrangements concerning their works; the art transporter owns the deployment of crews and vehicles.
Fixed crews or per shipment
A fixed crew known to every museum makes handovers smooth and builds trust. Assembling the crew per shipment gives flexibility during busy periods or large exhibition changeovers. Many art transporters work with a fixed crew leader per client and top up the team as the shipment requires, so the registrar keeps a familiar face.
Combine trips or run separately
Combining consignments from different clients in one trip is efficient, but every extra stop adds time on the road and extra handovers. For sensitive works or loans with strict conditions a separate run is often mandatory. The schedule shows which shipments may be combined and which may not.
Generous or tight scheduling
Generous scheduling leaves room for a museum that opens late or a work that takes longer to pack, but sometimes leaves crews waiting. Tight scheduling uses capacity better but leaves no room for the care the work demands. A buffer per venue, based on experience, is a middle way.

Per shipment the schedule records crew, vehicle, crates, escort and loading times, shows availability and sends every party a confirmation. We enter your crews, vehicles and usual loading times beforehand. Trial weeks: an ordinary week of collections from collectors and a gallery, and a week with a museum loan in which a courier travels along and the loading time shifts at the last moment. Scheduling the crate workshop and exhibition changeovers can be added later.

Explore pricing and optionsHow do we account for crate acclimatisation?
Each crate can be given an acclimatisation period. The schedule factors that in before a crate can be used or unpacked. A collection where the crate is not yet ready is flagged, so the planner can move it in good time.
Can we schedule a museum courier?
Yes. A courier is scheduled as a participant in the shipment, with arrival time and contact details. The planner sees when the courier needs to be present, and the confirmation goes to them as well, with all the practical details on collection address, vehicle and contacts.
What if a venue changes its loading time?
The planner updates the appointment and the schedule shows which other shipments or crews shift as a result. The confirmation is sent again to everyone involved, so nobody turns up at a closed loading bay with an old time.
Can we schedule an exhibition changeover as one job?
Yes. A changeover involving many works can be scheduled as one project, with sub-shipments per day or per venue. One overview shows which works have been collected, which are in transit and which are still to go.
