Transport and delivery: Operations dashboard for art transporters
An operations dashboard for art transporters that makes discrepancies at object handover visible: where they arise, with which packaging and at which link in the chain.
Which figures art transporters really need.
Every discrepancy at an object handover is a serious matter for an art transporter, yet the bigger picture is rarely examined. Do discrepancies occur more often with soft wrapping than with crates? With shared shuttles or with transfers between vehicles? With a particular type of work or at a particular venue? Is it real damage or a difference in how the condition was described? As long as condition reports are on paper or in loose files, nobody knows. An insurer or museum asking how you manage risk then gets a general story instead of insight.

From scattered figures to one overview.
Define a discrepancy clearly
First we agree what counts as a discrepancy: new damage, a difference in the condition description, a missing part, an object that was not on the list. We also set how severity is graded. Without those agreements, minor notes and real damage get lumped together.
Link condition reports to shipments
The dashboard connects the condition reports at departure and arrival to the shipment: packaging, vehicle, route, transfers, crew and weather conditions where recorded. Every discrepancy traces back to a specific object, a specific handover and the people who were present.
Trace patterns along the chain
By packaging type, type of work, route and client you see how often discrepancies occur. Drill down and the departure and arrival photos appear side by side. You might find, for example, that glazed works show discrepancies more often on shared shuttles, which could prompt a change in packaging choice.
Figures from your own work.
The data comes from condition reports, job cards, scheduling and quotes. While those are on paper, the first task is collecting them digitally. The dashboard replaces none of those sources. The office remains the owner of shipments and quotes, the crew of what was recorded at handover. Photos of works are used internally only; sharing with an insurer or client happens case by case and with permission.
All notes or only damage
Counting every discrepancy, including small differences in description, gives a complete picture of the chain but makes the dashboard noisy. Counting only real damage is clearer but hides the fact that condition reports are sometimes filled in carelessly. Grading by severity makes both visible without mixing them up.
Internal use or shared with clients
An internal dashboard helps you improve. Sharing with a museum or insurer can build trust, but only if the data is sound and the context is clear. Start internally, and decide later which views are suitable for sharing, always limited to that client's own shipments.
By crew or by chain
A view per crew can show where coaching is needed, but says little if that crew also handles the hardest shipments. Looking along the chain, from packaging to route, gives a fairer picture of where risk arises. Crew-level data belongs in a conversation, not on the shared screen.

The report starts from fixed definitions and severity grades, condition reports belong to their shipment and discrepancies can be viewed by packaging, type of work, route and client, with the departure and arrival photos. We draw up that grading with you. Then we look at a period of mostly single shipments next to a period with a large exhibition changeover. Views for clients and a warning on packaging choices that go wrong more often are added later.

Explore pricing and optionsDo we have enough discrepancies to see patterns?
Fortunately discrepancies are rare, so patterns emerge slowly. That is why the dashboard also counts shipments without a discrepancy, showing how often things go right. Each result shows how many shipments it is based on.
What if condition reports are filled in differently?
That is often the first finding. Differences in description count as a lower-severity discrepancy. The dashboard shows where they come from, which can prompt a more fixed format or more guidance when reports are prepared.
Can we use the dashboard with our insurer?
Yes, if the data is complete. An overview of how often discrepancies occur and which measures were taken supports a conversation about risk. Share only what is needed, without details of specific works or owners.
Does the crew see the results too?
That is up to you. It can be valuable to show in which situations discrepancies arise, so the crew is extra alert. You can leave out data per person, so the discussion is about ways of working rather than individuals.
