Transport and delivery: Digital job cards for archive relocation companies
Digital job cards for archive relocation companies where each crew ticks off the relocation list by box reference, so every handover records exactly which boxes were loaded and re-shelved.
What a job card for archive relocation companies should hold.
On moving day, archive relocation companies work with paper relocation lists ticked off room by room. By midday there are three versions: one with the packing crew, one with the driver and one with whoever is re-shelving in the new room. A box that was not on the list gets added in pen. A box that gets damaged is mentioned verbally. At the end of the day nobody can say for certain whether every box from a shelving bay is in the right place. When the archivist looks for a file a week later, the puzzle starts with handwriting and the question of who drove which lorry that day.

From preparation to signed-off card.
Prepare the list per crew
For each phase the relocation list is ready with box references per room and bay, plus the destination in the new room. The crew leader sees their part of the list on a phone or scanner, with access instructions and the contact on site. Special boxes, such as confidential records, are clearly marked.
Scan at loading and re-shelving
Every box is scanned or ticked off when loaded and again when placed on its new shelf. A box without a reference can get a new label on the spot showing the bay it came from. Damage or an open box is recorded against that reference with a photo and a short note.
Close each handover properly
At the end of each phase the job card shows which boxes were loaded but not yet re-shelved, and which ones were added. The crew leader checks those differences before closing the phase. The client's contact signs off based on a count that adds up, not on a rough impression.
No more paper and loose photos.
The relocation list usually comes from a spreadsheet made by the client or the adviser. That list stays the source: the job card imports it and tracks the status of each box. Many archive relocation companies already own barcode scanners or can use phones. The client remains the owner of the box contents and the filing scheme; you own the status in transit and the sign-off for each phase.
Barcode scanning or manual ticking
Scanning is fast and accurate but needs a readable label on every box. Ticking off a list works with unlabelled boxes too, but is more prone to error. A mix is often most practical: scan where labels exist, tick off with a temporary label where they are missing, so the list still adds up box by box.
Sign-off per phase or per day
A daily sign-off is simple but hides differences between phases. Signing off per phase, for instance after loading one department, exposes a missing box sooner, while the crew still remembers where it stood. It takes a little more time on the day but saves a lot of searching afterwards.
Client signs or only crew leader
If the client signs, the handover is fixed and it is clear later who checked what. Letting only the crew leader sign is quicker but leaves the client without evidence. For sensitive archives, a sign-off by the client is usually the sensible choice, and it is worth agreeing this per job in advance.

The relocation list is ready per phase and crew; boxes are scanned or ticked off at loading and re-shelving, damage is reported with a photo and every phase is signed off. At the start we set up your label system and the types of damage. Before the real work begins, we walk through a department with labelled boxes and a room where some of the boxes have no reference. Feedback into the schedule and a handover report for the client are switched on when you want them.

Explore pricing and optionsDoes this work without signal in a basement archive?
Yes. The job card stores scans and notes on the device and sends them once there is a connection again. Basement archives and shielded rooms are the rule rather than the exception in archive moves, so we plan for that from the start.
What if the client has no relocation list of their own?
Then the packing crew builds the list while packing: every box gets a label with reference and origin, and the job card compiles the list from that. The client receives the list afterwards, so from then on they do have an overview.
Can we track confidential boxes separately?
Yes. Boxes can be marked as confidential. The job card then shows at loading and re-shelving that the box needs extra care, such as a second person watching or a sealed roll cage. Who scanned each box is recorded.
What happens to damaged boxes?
The crew records the damage with a photo and a note against the box reference. The crew leader sees it at once and can decide to repack the contents into a new box carrying the same reference. The report stays visible to the client at handover.
