Design and creative production: Customer portal for animation studios
A client portal for animation studios where clients review storyboards, work through feedback rounds and sign off, with each round showing what has changed.
What customers of animation studios want to see.
Clients of animation studios receive storyboards as an email attachment, renders as a link to a file-sharing service and feedback requests in separate messages. They send comments back in a document, sometimes from several people at once with conflicting wishes. Nobody knows exactly which version was last approved or how many revision rounds are left. When a client wants to change a scene after approving the storyboard, there's no record of when and by whom the storyboard was signed off. That makes a conversation about extra work awkward for everyone.

From invitation to approval.
Set access per production
Each client only sees their own productions. Per production you decide who can view, who can comment and who can approve. Final sign-off then comes from the person the quote says is responsible, not from whoever happened to receive the link in a forwarded email.
Show versions and rounds
The portal shows the current version for each stage: script, styleframes, storyboard, animatic, renders. Each version shows which round it is and how many rounds are left under the agreement. The client comments on a frame or timecode and, in the next version, sees what was done with each comment.
Record the approval
An approval belongs to a specific version and is logged with name and time. The production then moves to the next stage. If the client wants to change something after approving, the portal opens a request that the producer assesses as either extra work or within the agreement.
Less email, the same records.
Animation studios often use a review tool, a file-sharing service for large files and email for everything else. The portal can replace the review tool or link to it; large files stay in storage and the portal shows a preview. Approvals and rounds are tracked in the portal. The studio owns the working versions; the client receives the final files at delivery, in line with what the quote agreed.
Own portal or existing review tool
An existing review tool is familiar to many agencies and works well for timecoded comments. A portal of your own can do more: count rounds, record approvals, handle extra work. A combination is possible, with the portal tracking the agreements and the review tool holding the comments. Then the two do need to be properly connected.
Show every version or selected ones
Showing everything is transparent, but floods a client with work in progress that isn't ready yet. Only showing versions the director has released keeps feedback focused. Most studios choose the latter, with a short internal review before any version appears in the portal for the client.
Feedback from everyone or one person
If everyone at the client can comment, more wishes come in, some of them contradictory. Going through one contact is tidier, but that person has to collect everything internally. The portal supports both, with a role for the person who bundles the comments and submits the round.

Clients get their own space per production to view versions, leave comments at a timecode, follow rounds and approve per stage. We go through an ordinary production together and a client who still wants to change a scene after approving the storyboard. Connecting the review tool you already use and delivering final files through the portal are switched on once the first clients are used to the portal.

Explore pricing and optionsCan clients see how many revision rounds they have left?
Yes. Each stage shows how many rounds are included and how many have been used. An extra round is announced in the portal as extra work before it starts. There are no surprises on the invoice, and the client can decide for themselves whether they want that round.
Does the portal handle large video files?
The portal shows a preview version that loads quickly. The full files stay in the storage you already use and are only made available at delivery. A client doesn't have to wait for a huge download just to leave a comment on a scene.
Can an agency use the portal under its own name?
That can be arranged. An agency reselling your work to its own client sometimes doesn't want the end client to see your name. The portal can then be shown without the studio name, or the agency uses the portal and shares with its client itself.
What happens to comments that fall outside the scope?
The producer can mark a comment as outside the agreement. The client then sees that it's extra work and can choose whether to go ahead with it. That conversation happens next to the comment itself, not afterwards when the invoice arrives.
