Construction and installation: Scheduling software for acoustic treatment installers
Scheduling software for acoustic treatment installers that fits installation time per room to the moments that room is actually free, so crews never turn up at an occupied boardroom or a busy restaurant.
What makes scheduling hard for acoustic treatment installers.
Scheduling at acoustic treatment installers gets stuck on the room itself. A restaurant is only available on Mondays, a school only during the holidays, an office only after six. Meanwhile the panels must have arrived, the cherry picker must be booked and the final layout must be approved. Planners track all this in a calendar with notes and only discover on the day that the custom panels are still at the supplier or the floor is full of chairs. An installation that stops halfway means a second trip and a customer left with half a room. Scheduling has to look at installation time, access windows, delivery and equipment together.

From job to confirmed appointment.
Working out the fitting effort
The approved layout gives the number of panels, the suspension system and the working height for each room. From that the schedule works out how many installers and hours are needed and which equipment goes with them. Rooms in the same building are looked at together, so a crew can move from one room to the next.
Access and delivery side by side
Each room lists when work is allowed, such as evenings, weekends or holiday weeks. Next to that the planner sees the expected delivery date of the panels and the availability of access equipment. Only moments when room, materials and equipment all line up are offered as suggestions.
Confirming with site conditions
The customer receives a confirmation with date, start time and what needs to happen beforehand: furniture cleared, ceiling tiles reachable, keys or passes arranged. The booking is only fixed once the customer confirms. If a delivery slips, the planner immediately sees which appointments are at risk and can act before the crew sets off.
Alongside your calendar and your team.
Acoustic installers often plan in a shared calendar, with delivery dates buried in supplier emails and equipment hired from a rental company. The schedule reads approved quotes or layouts in as the work queue and tracks delivery dates per order. Installers can keep seeing their jobs in their own calendar, the way they are used to. Suppliers remain owners of their delivery confirmations; the planner copies the date over or receives it by email.
Own installers or subcontracted crews
With your own installers you plan on availability and skill, such as who has experience hanging baffles at height. Subcontracted crews need firm agreements on arrival time and materials. The schedule can show both, making clear which job is done by whom and what information an external crew needs before it arrives on site.
Plan after delivery or book ahead
Waiting until panels are in stock avoids empty installation days, but makes it hard to hold on to scarce slots like a school's holiday week. Booking ahead with delivery as a condition keeps the slot and lets the planner adjust if delivery moves. A rare window is not lost to a few days of supplier delay.
One crew per project or spread out
A fixed crew per building knows the space and the contact person, but is less flexible. Spreading crews over several smaller jobs fills days more efficiently. On large projects with many rooms a fixed crew makes sense; for individual meeting rooms spreading them is often better. The schedule shows which choice fills a week best.

What we set up in the schedule.
Installations are scheduled per room based on layout, access windows, delivery and equipment, and the customer receives a confirmation with the site conditions. Once it is set up, we practise together with an ordinary week of office installations and with a delivery arriving a week late just before a school reopens. An overview for subcontracted crews and automatic equipment booking can be switched on when you want to work with them.

Explore pricing and optionsCan customers pick an installation slot themselves?
They can choose from slots the planner releases, which already fit panel delivery and installer availability. The customer picks what suits their building best, without creating an appointment that falls through because materials are missing on the day.
What if an installation takes more than one day?
The schedule calculates installation time per room and spots when several days are needed. Those days are proposed together, so a room is not left half finished. If the work has to be split anyway, the planner records which part is done each day and what the customer can use in between.
How do installers know what to bring?
Each job shows the layout drawing, the list of panels and suspension materials and the equipment needed. Installers see it on their phone or tablet before they leave. If something has not been delivered, that is clearly marked, so they do not find out on site that a colour is missing.
Can we plan work outside office hours separately?
Yes. For each room you can record that installation is only allowed in the evening or at weekends. The schedule takes that into account when suggesting slots and marks those bookings, so it is clear that different working hours or surcharges apply for the installers.
