Construction and installation: Inventory software for acoustic treatment installers
Inventory software for acoustic treatment installers that tracks panels by size, colour and finish, and shows which are already allocated to a project and which are free for new installations.
Where stock drifts for acoustic treatment installers.
The warehouse of an acoustic treatment installer is full of panels in all sizes and colours, plus leftovers from earlier projects. Whether there are still six grey wall panels in that format is usually known by one person. Panels delivered for a specific project sit next to free stock and sometimes get used for a rush job, leaving the original project short. Colours from different production batches can differ slightly, which shows when they hang side by side. Suspension materials such as cables, rails and clips run out without warning. Inventory has to show what is on the shelf, what is already promised and what can really be used.

Identifying panels and materials
Every panel type is recorded with size, colour, finish and, where it matters, production batch. Suspension materials such as cables, profiles and clips are counted separately. Leftover panels get their own status, showing they are fine for small top-ups but not for a new room where everything has to match exactly.
Reserving for each project
As soon as a quote is accepted, the required panels and materials are reserved. If they are in stock they are allocated; if not, a purchase suggestion is created. A reserved panel cannot simply be used for another project unless the planner deliberately reassigns it.
Updating after installation
After installation, used panels are booked out based on the job card. Anything that comes back, such as a panel that did not fit or surplus taken along, returns to stock with the right status. Damaged panels are booked separately so they do not linger as usable stock.
Alongside your purchasing and suppliers.
Acoustic installers often track stock in a spreadsheet or by eye in the warehouse, with supplier orders sent by email. The inventory software uses the article list from the quoting software or an export from the accounting package as its base and adds batch, location and status. Suppliers remain owners of their article data and lead times; the warehouse owns the count. A scanner or a simple count on a tablet is enough to record goods in and goods out.
Holding stock or ordering per project
Keeping standard panels in common colours in stock allows quick installations but ties up space and money. Ordering custom sizes and special colours per project avoids leftovers but makes you dependent on lead times. Most acoustic installers combine both; the software shows which articles move quickly and which mainly end up as leftovers.
Tracking batch numbers or not
Recording batch numbers adds work at goods receipt but prevents colour differences between panels that hang side by side. For neutral colours in small rooms it matters less; for large walls in one colour it matters a lot. Tracking where it counts and skipping it elsewhere keeps the admin light.
Keeping offcuts or writing them off
Leftover panels can be useful for small top-ups or replacements at a client. But they take up space and are often forgotten. Recording them with size and colour makes them visible when a new quote is prepared. Anything unused after a while can then be written off deliberately rather than gathering dust.
How it already runs at similar businesses.
Which stock we record.
At the start the inventory holds panels by size, colour and batch, plus suspension materials, with reservation per project and booking out after installation. Together we practise an ordinary week of deliveries and installations, and a rush job needing panels already reserved for another project. Purchase suggestions to suppliers and an overview of slow-moving leftovers can be switched on when the counts are reliable.

Explore pricing and optionsCan we temporarily borrow panels from another project?
Yes, but deliberately. The planner reassigns the reservation and the system shows which project ends up short and when stock can be replenished. The rush job gets help without the original project discovering missing panels on installation day.
How do we track suspension parts that are cheap per piece?
Small items such as clips and screws can be counted per box or pack rather than individually. The system warns when a minimum level is reached. Cables and rails are tracked by length or set, because they run out quickly on larger projects.
What do we do with panels that come back damaged?
They are booked separately with a reason, such as transport or installation damage. They do not count as usable stock. If the supplier is responsible, the record can support a claim. Minor damage may also mean a panel can still be used somewhere less visible.
Do we need to count the whole warehouse first?
An initial count is needed to start from a reliable position. It can be done in stages: first the panels used most often, then leftovers and suspension materials. During the changeover new deliveries and issues can already be recorded, so the count is correct from that point on.
