Construction and installation: Customer portal for acoustic treatment installers
A customer portal for acoustic treatment installers where clients find measurement reports, design options and colour choices for each room and give their approval before anything is ordered.
What customers of acoustic treatment installers want to see.
On a project for an acoustic treatment installer, measurement reports, design options, colour samples and layouts travel back and forth by email. The facilities manager forwards the options to the board, the architect wants a different colour, and in the end nobody is sure which version was approved. Acoustic installers do end up ordering custom panels in the wrong colour because an old email was taken as sign-off. After installation the client still hunts for the measurement report for their own records or the next refurbishment. A portal has to show the current documents for each room, mark clear decision points and record who approved what.

From invitation to approval.
Access by project and role
For each project the consultant decides who gets access: the client, the architect, the facilities manager. Everyone sees the rooms and documents relevant to them. Who may approve and who may only view is set beforehand, so approval always comes from the right person.
Documents for each room
For each room the measurement report, design options, layout and colour choice sit together. A new version visibly replaces the old one, which remains available. The client always sees which design is current and what has changed since the previous version, without digging through an inbox.
Recording choices and approval
The client picks an option and colour and approves it through the portal. Questions or remarks can be placed on the relevant document. The consultant sees the approval immediately and only then releases the order. After installation the handover photos and any follow-up measurement appear in the same file.
Less email, the same records.
Acoustic installers currently keep measurement reports and designs in folders on a shared drive and send them by email. The portal reads final documents from that storage or lets the consultant upload them, without exposing the internal working folder. Measurement reports remain the property of the survey firm or consultant who wrote them; the portal only displays them. Approvals are stored with date and name, so they fit straight into the project file.
Approval per room or per project
Approval per room gives the client time to decide room by room and lets you order earlier for rooms that are already settled. Approval per project is simpler but stalls when one room is still under discussion. On larger projects approving per room is usually more practical and keeps installation moving.
Giving the architect access or not
Bringing the architect into the portal prevents colour decisions being made out of the client's sight. It can also lead to more back and forth. A middle route is to let the architect view and comment while only the client gives formal approval. Their comments stay attached to the right document.
Digital or physical colour samples
A colour on a screen looks different from a fabric swatch in the room. The portal can show colours, but for final decisions acoustic installers often send physical samples. The portal can then record which sample was sent and which choice the client made after seeing it in their own space.

What customers find in the portal.
The client and other parties get access per project and see the documents per room with version history, while choices and approvals are recorded. We walk through the portal together with an ordinary office project and with an architect who wants to change a colour after approval, so it is clear which version then applies. An overview of follow-up measurements and an archive the client can keep consulting after handover are set up once the first installations are complete.

Explore pricing and optionsCan the client still see earlier versions of the design?
Yes. Older versions stay available but are clearly marked as superseded. The client can see what changed and why, and there is no confusion about which version applies. Only the current version can be approved.
What if two people on the client side choose differently?
That is why the approver is set beforehand. Others can comment and express preferences, but formal approval comes from the named person. If conflicting comments come in, the consultant sees it and can ask the decision maker to make the call.
Does the portal stay available after installation?
Yes. After handover the file with measurement reports, layout, handover photos and any follow-up measurement stays available. That helps with a refurbishment, an extension or when the client later wants to know exactly which panels are installed for reordering or replacement.
Do clients need to create an account?
They receive an email invitation and then set up their own login. An architect or one-off party can get limited access via a link instead of a full account. Anyone who approves always has a personal login, so every approval is tied to a name.
