Repairs and specialist services: Customer portal for instrument repairers
A customer portal for instrument repairers where players, parents and music schools approve repair proposals, see whether an instrument is ready and look back at earlier maintenance.
What customers of instrument repairers want to see.
Instrument repairers hear the same question several times a day: is my instrument ready yet? Players ring between lessons, parents message on behalf of a child and a music school wants a status for each instrument. Every answer means someone leaving the bench, finding the ticket and calling back. The repair proposal goes out by email, gets buried in an inbox and is approved with a quick yes that does not say which options were meant. Anyone with several instruments in for repair loses track entirely, and so does the workshop.

From invitation to approval.
Access per player or institution
A player sees their own instruments, a parent sees their children's, and a music school sees every instrument registered to the school. A teacher can be given access to pupils' instruments if the school wants that. Nobody sees more than they should, and a sign-in link by message is enough.
Show status and proposal
For each instrument the customer sees where it stands: assessment, awaiting approval, in repair, waiting for a part, ready for collection. The repair proposal sits alongside with its options, approved with one button per option. The collection notice only appears once the final check is ticked off, never before.
Questions on the instrument
If the customer has a question about an option or collection time, they ask it from the instrument itself. The question lands on the right card instead of a general inbox. The repairer's answer stays visible, so a parent or teacher can read back later what was agreed.
Less email, the same records.
Statuses and proposals come from the instrument cards and the quoting system; the portal simply displays them. If you already keep a customer list in a till system, there is no need for a second customer file: the portal uses the same details for sign-in. Invoices can be shown in the portal exactly as the accounting package produces them. For music schools that keep their own inventory list, the portal can export each instrument with its latest service.
Portal or status messages only
For a player who has a setup once a year, a message at each status change may be plenty. A music school with dozens of rental instruments wants an overview it can search itself. The portal handles both: short messages for those who prefer them and a full overview for institutions.
Parent or pupil as the contact
With young players the parent pays, but the pupil knows what is wrong with the instrument. You can give both access with different rights: the pupil sees status and can ask questions, the parent approves the proposal. Approval goes to whoever pays and the explanation to whoever plays.
Show or hide service history
Players like seeing when their instrument last had a service. When a second-hand instrument changes hands, though, you do not want the new owner reading the previous owner's notes. History is therefore scoped to each owner, and you decide what carries over on a transfer.

Per customer the portal shows the instruments with their status, the repair proposal with approval per option and the collection notice. At the start you decide which customers get a login. Together we look at an individual player handing in one instrument, and a music school dropping off several at once, one of which is waiting on a part. Questions per instrument, teacher access and service history with a reminder for the next service are added whenever you want.

Explore pricing and optionsDo customers have to create a password?
Not necessarily. A secure sign-in link by message works for most players. Music schools that log in often can have a permanent account with several users. That keeps it simple for the one-off customer and organised for an institution.
Can the customer see when a part has been ordered?
Yes, if you want them to. The waiting for a part status can show the expected delivery week, so the player understands why it is taking longer. If the date is uncertain, you can leave it out and simply show that a part is on its way.
Can a school book a repair through the portal itself?
Yes. A music school can register an instrument from its own list with a description of the problem. The instrument is already known with make and serial number, so only the issue and preferred date are needed. That saves typing on both sides.
Can we send the collection notice later than the final check?
Yes. Sometimes a repairer wants to leave an instrument overnight to see whether it holds its tuning. You can then release the collection notice manually. Until then the portal shows the instrument as in final check.
